What call recording in a CRM means in India

Most Indian counselling teams call students from ordinary mobiles. There are two ways a call and its audio can reach your CRM.

Two of these get skipped most often.

Coverage. Vendors demo on one phone. Your team has a mix of handsets, a front-desk line and perhaps a travelling manager. List everyone who talks to students and the route that will capture their calls. If anyone has no route, the tool fails criterion 2 for your team.

Capture health. You want to see a phone that stopped capturing from the CRM, not discover it when a student disputes what a counsellor promised.

A 30-minute test to run in every demo

Ask the vendor for a trial workspace and bring two counsellors: one on an Android phone and one on an iPhone.

  1. Create a test lead with a colleague's number, who plays the student.
  2. The Android counsellor calls the "student" from their own phone and talks for two minutes. Open the lead. Check direction, duration, outcome, the counsellor's name and that the recording plays.
  3. Repeat with the CRM app closed and the phone locked.
  4. The iPhone counsellor makes the same call through the cloud telephony number. Check the same five things on the lead.
  5. Call the business number from a number the CRM has never seen. Where does that call land?
  6. Log in as a counsellor from another branch and try to play the first recording.
  7. Transcribe one call and read the transcript against what was said.
  8. Open the call report, click any number and count the rows in the list it opens.
  9. Ask where you would see that a phone has stopped capturing.

Write the result of each step on one sheet per vendor. Demos feel similar a week later; the sheet does not.

LeadSquared

LeadSquared's help centre explains how inbound and outbound calls are recorded in its application. On Android, counsellors install its Call and SMS tracker app alongside the LeadSquared mobile app, and an admin enables the Track Calls and Record Calls permissions. Recordings attach to the lead as activities, and users listen or download from the lead's Activity History. On iOS, the page describes recording outbound calls placed from the LeadSquared mobile app, which has to stay in the foreground for the call. It suits larger teams that also want LeadSquared's wider sales and admissions suite.

Zoho CRM

Zoho CRM's telephony help page describes integrating a PBX system so teams can place and monitor calls and record conversations, and notes that different PBX providers can be used for different groups of users. Calls are logged automatically in the Calls module. Its PhoneBridge page lists providers including Exotel, Ozonetel and TeleCMI. In practice, recording comes with the telephony service you connect. Zoho suits teams already on its suite, with an admin who will configure the rest of the education workflow.

Cloud telephony on its own

Some consultancies buy only a cloud telephony service: a virtual number, call routing and a recordings dashboard. That works for an inbound enquiry line. The gap is that recordings sit in the provider's portal, found by phone number, not on a student record with that student's applications and follow-ups. Check whether the provider integrates with the CRM you use for everything else.

Worked example: coverage and review time in numbers

Take a hypothetical consultancy in Thrissur with twelve counsellors. Nine carry Android phones, three carry iPhones, and the ads show one enquiry number.

Coverage. Assume each counsellor dials 50 calls a working day over 24 working days. That is 12 × 50 × 24 = 14,400 calls a month. A tool that captures only the nine Android counsellors misses 3 × 50 × 24 = 3,600 calls, a quarter of the total, and the three iPhone users are often the senior counsellors handling the hardest conversations.

Review time. Assume the counselling head reviews five calls per counsellor a week, four weeks a month: 12 × 5 × 4 = 240 calls. At six minutes of listening each, that is 24 hours, three working days. If skimming a transcript takes two minutes, the same review takes 8 hours, and the head listens only to the calls where the transcript raises a question.

Choosing which calls. 240 of 14,400 is under 2%, so the head needs filters: connected calls with a recording, on students who went quiet afterwards.

Can a CRM record calls made from a counsellor's own mobile number?

Yes, through SIM call sync. The counsellor dials as usual, the phone saves its own recording, and the CRM's mobile app matches the call to the student's record with its direction, duration and outcome. The student sees the counsellor's normal number. Check in a demo that the recording plays from the student's record and that capture continues with the app closed.

How do counsellors on iPhones get their calls recorded in a CRM?

They take the cloud telephony route. Calls go through a business number whose provider records them in the cloud and passes the call and recording to the CRM, whatever phone the counsellor holds. In a mixed team, list every counsellor and the route that captures their calls before you sign, so nobody is left without one.

Should owners and managers be recorded too?

Usually not. Record the roles whose calls you review, typically counsellors and telecallers, and leave owners, accounts staff and anyone who uses the phone for personal calls out of scope. A CRM that switches capture on per role makes this a setting rather than a promise, and it keeps the recordings you hold limited to the purpose you told people about.

Is call transcription reliable for calls that mix Malayalam or Hindi with English?

Test it rather than trusting a claim. Transcribe three of your own recorded calls in the demo, one clear, one noisy and one that switches languages often, and read each transcript against the audio. Use transcripts to pick which calls to listen to, and listen before acting on anything important, such as a complaint or a promise about fees.

What is the difference between a call log and a call recording?

A call log is the record that a call happened: who called whom, when, the direction, the duration and the outcome. A call recording is the audio of the conversation itself. Logs tell a manager whether a student was called, and recordings tell them what was said. A good CRM keeps both on the student's record, and filters let you find calls that have a recording.
