CRM reports and analytics for education teams: every number opens the leads behind it
The simplest test of a CRM report is to click the number and count the list behind it. Xale's reports for study abroad and education teams are built to pass that test. Every count comes from the same filter as your leads list, scoped to the viewer's role and counted in India time, across 11 report tabs that run from lead sources to receivables.

The problem with CRM reports
Why managers stop trusting their CRM numbers
Reports usually break in four places, each from counting the same thing differently on different screens.
The number and the list disagree
A card shows one count and the list it links to shows another. Nobody can say which is right, so the team rebuilds the numbers in a spreadsheet.
One student, counted three times
A student who applies to three universities is three conversions on one report and one on the next. Source ROI looks better than it is, and rankings reward whoever logs the most applications.
A “today” that ends at 5:30 a.m.
Split days at UTC midnight and every lead that arrives between midnight and 5:30 a.m. IST lands on the previous day.
Managers see more than they should
Exports and emailed reports built outside the permission model can hand a branch manager another branch's numbers.
How Xale keeps report numbers honest
Five accuracy rules, applied to every report
Xale's reports follow a written accuracy specification: one definition per metric, implemented once and reused by every card that shows it. In plain words: five rules, plus one about who sees what.

Every number opens the leads behind it
Click a count on any card and Xale opens the exact list that produced it. The drill uses the same filter as the leads page and carries the card's date rule, role scope and deal grain, so the count and the list match. If a drill would open more than 50,000 leads, Xale asks you to narrow the filters rather than show part of the list.

One definition per metric
“Conversions” means distinct leads that entered your final stage in the period, on the KPI strip, the funnel, the source table and the team leaderboard alike. Filter by a stage, status or sub-status and the date window follows when leads entered that stage or changed that status.

First-stage leads are counted by arrival date
Leads are created into your first pipeline stage, so they never “enter” it. Xale counts that stage by created date, in the number and in the list it opens, so a months-old lead moved back into it never shows up as new this month. The rule follows stage order, not the stage's name.

India calendar days everywhere
“Today”, “This week” and “This month” start at IST midnight, and custom ranges resolve as IST calendar days on the server. Follow-ups use the same calendar.

One student counts once in conversions
Each university application is its own deal under one student record. Conversions count distinct students, so several applications add one conversion, while the Admissions tab still follows each application through offer, deposit, visa and enrolment.
And every number is scoped to the person looking at it
Reports use the same visibility rules as the leads list. Counsellors see their own leads' numbers, branch managers their branches and admins the whole organisation, so a counsellor's total equals the list they can open. Exports and scheduled emails never contain more than the person can see in the app. Roles are covered on our multi-branch CRM with role-based access page.
Anchor points
Anchor points: count the milestones students reached, not only where they sit today
A stage count answers “who is in Deposit right now?”. A manager asking about deposits usually means “how many students paid a deposit this month?”, and a stage count shrinks every time a student moves on to Visa or Enrolled. An anchor point counts the second way, on the dashboard and in reports.
Mark a milestone stage
In the stage editor, tick a stage such as Application or Deposit as an anchor point and name its button, for example “Verified deposits”.
Count everything that reached it
The anchor counts every student with an application that reached that stage or any later one, so students who have since moved on still count. A student counts once, however many applications crossed the milestone.
Window it on the milestone
With “New this period” on, a date range counts only students whose first application to reach that stage, or a later one, got there within the range. You also choose whether rejected applications and rollback statuses are left out.
40 students reach Deposit in September. By the end of the month, 25 of them have moved on to Visa or Enrolled.

Where anchor numbers appear
- A button on the leads list that shows exactly the anchor's students, under the name you gave it.
- A tile for each anchor on the dashboard's KPI strip.
- Anchor-stage figures in dashboard widgets and reports, labelled with the anchor's name.
- One definition for all of them: the dashboard and the leads list share the same anchor rule, and a counsellor's anchor number counts the students whose application they own.

Lead source ROI
Lead source ROI and cost per lead from real Meta ad spend
The By Source tab puts leads, conversions, spend and cost per lead side by side for every source and campaign. Meta Ads spend syncs daily for connected ad accounts, and Meta leads arrive with their campaign and form attached.
Daily Meta spend
Where daily Meta spend exists for your dates, Xale uses the real figure for exactly those days. Synced Meta spend takes precedence over a manual entry.
Estimates, clearly marked
Where only a monthly figure exists for a month partly in range, Xale shares it across the days in range and marks the result as an estimate.
Other channels, by hand
Enter spend by month for channels Xale doesn't sync, such as Google Ads or education fairs. With no leads or no spend, cost per lead stays blank instead of showing a misleading zero.
Counsellor performance
Counsellor performance reports that follow every lead to its outcome
Activity counts alone reward whoever clicks most, so these reports follow each lead a counsellor was given through to its outcome.
Counsellor scorecards and a daily grid
Each scorecard follows every lead a counsellor was given, whether new, reassigned or re-enquired, across six blocks: book, activity, speed, quality, outcome and adoption. A daily grid shows each person's new leads, unattended leads, calls and missed follow-ups by IST day.
Speed-to-lead with SLA %
See the median time from enquiry to first call, WhatsApp or email for each counsellor, with the percentage handled within your SLA. Leads nobody has contacted yet are counted separately, so they can't flatter the median.
Call Performance Rankboard
Rank counsellors across six views, from connectivity and talk time to recovery and enrolment; a separate branch table uses the same numbers. The Rankboard reads a call's outcome before its duration, since an unanswered call's duration is ring time, and unmatched calls sit in an explicit unattributed row so the rows add up. Targets vs actuals
Set targets for leads, conversions, revenue or calls per branch, role or counsellor, with the start and finish points placed on your own pipeline, and track achievement against each one.
Admissions and pipeline
An admissions funnel report built on your own stages
The Admissions tab maps your stages onto application, offer, acceptance, deposit, visa and enrolled. Each step counts the first time a deal reached it, from a history that is never rewritten, so a deal moved back later still shows its offer. Steps you haven't mapped show as not set up, never as invented numbers.
Stage velocity and stale leads
By Stage shows pass rates between stages, median and average days in each, end-to-end cycle time and ageing. Stale-lead reports measure idle time from the last human action, so a lead only an automation has touched still shows as unattended.
Field insights
See how leads split across the options of your selector custom fields, with fill rates. Fields and options a user can't see stay out of their numbers.
Revenue
Revenue reports on three clocks that are never added together
Money questions run on different clocks, and mixing them is how revenue reports go wrong. Xale keeps three views apart and never sums one into another.
Cash collected
Payments received in the period, by the date they were paid, next to the outstanding book as of today.
Receivables and ageing
What students still owe as of today, aged into buckets, with an at-risk view, a branch ageing heatmap and the book by owner.
Deal economics
Deals grouped by the month they were created, showing how much of each month's bookings has turned into cash, and how fast.
A data-quality view checks the payment records themselves: coverage, ledger drift and recording lag.

Save the view
Save the tab, filters and date range as a named view, private or shared with the team. Only the owner or an admin can change it.

Schedule it
When the schedule fires, Xale works out the date range in IST at that moment, so “last month” means the month that just ended, and runs the report with the owner's permissions.

Email the digest
Recipients get a digest with CSV or XLSX attachments, sent from the schedule owner's connected Gmail account.

Or send a WhatsApp summary
An approved template goes out through Wati, Gallabox or UrbanChat, with variables such as new leads, conversions, revenue and overdue follow-ups filled from the same numbers as the email.

Honest numbers, fast
Reports that tell you when they can't give you a number
A report that looks right but isn't does more damage than a blank, so Xale's reports show their own limits.
Reliability flags
Report responses carry a reliability flag. Where stage history can't support a stage-based figure, the report falls back to current stage membership and says so.
“Unavailable”, not empty
If heavy queries are paused to protect the system, cards show “unavailable” and exports refuse to run, rather than producing an empty file that looks real.
Period compare on real data
Compare any period with the one before it. The previous period comes from real data for its exact dates, never an estimate.
Near real-time, and fast at scale
Results are cached by visibility scope: people who see exactly the same data share a cached result, and people with different visibility never do. Current-period figures refresh within a few minutes and clear when leads change; closed periods are cached for 24 hours. Hence near real-time, not real-time. For scale, across the platform:

What the reports don't do yet
- Export covers Lead Overview, By Source, By Country, Call Analytics, Branch Analytics and Field Insights. By Stage, User Performance, Admissions, Team and Revenue can't be exported yet.
- Output is CSV or XLSX. There is no PDF.
- The dashboard's call widget and the Team tab's activity summary count any call with a duration as connected, ring time included. Use the Call Performance Rankboard or the counsellor scorecards for connect rates.

Three things teams set up once and use every day. All three work in Xale now, on the same role scope and IST calendar as the reports.
Favourite views
Saved lead filters that become their own sidebar entry.
- Save filters, search, view mode and columns under a name and an icon.
- Private by default, or shared with the roles you choose. Admins always see shared views.
- Relative dates such as “last 7 days” or Overdue stay relative.
- Change any filter, then reset the view to what was saved.

- Admins set which widgets the workspace shows, and their order and layout.

The built-in tabs answer the questions every consultancy asks. The Custom Report Builder is for the ones only your consultancy asks: choose what to count and what to break it down by, filter with real logic, and click any number to see the records behind it. It will work across leads, deals, calls, follow-ups, activities, payments, branch transfers, lead assignments and custom-field answers.
The Custom Report Builder is coming soon and is not yet available in any workspace.

Example 1
Which destinations is each intake actually asking for?
Rows: intake · Columns: destination · Measure: applications · View: heatmap
Every university application counted by intake and destination country in one heatmap. It shows where next intake's demand sits before you plan university partnerships or counsellor capacity.
Example 2
Which counsellors convert best, among those with a real book?
Rows: counsellor · Measures: leads, applied, deposited, enrolled, conversion %, deal value · HAVING: leads ≥ 100
A HAVING filter drops anyone holding fewer than 100 leads, so a twelve-lead book can't top the conversion column. Rows removed this way leave the total too, so the figure at the bottom covers only the people shown.

Which UK or Canada leads have had real attention?
Filter: (UK OR Canada) AND 3+ calls in the period · Rows: country · Columns: stage
A nested OR group combined with a condition on each lead's own call history. A flat list of filters can't express either part.
Example 4
Who paid a deposit this month, by branch and counsellor?
Anchor: reached Deposit · Rows: branch → counsellor · Measures: students, deal value, collected, collection %
Anchored on the Deposit milestone, so it counts students who crossed it this month, including those already at Visa. A student with two deposited applications counts once, while the money columns carry both.
What the builder will include
Pivot tables
Nested rows, up to two column levels, row and column totals, values as a share of the row, column or grand total, and a switch to turn the table on its side.
Table, chart, KPI and list views
Show a summary as a table, heatmap, bar, line or donut chart, or as KPI tiles. Or build a plain list report of the records themselves.
A library of measures
Count, distinct count, sum, average, minimum and maximum. Conditional measures such as “count where stage is Enrolled”, and rates such as conversion % that stay correct in the totals. Choose whether a count means students or applications.
AND/OR filter trees
Group conditions with AND and OR, negate a group with NOT, nest up to three levels, and filter on related records, such as how many calls a lead has had.
HAVING filters
Filter on the finished row rather than the raw records: “only branches converting above 20%”, “only counsellors with 50+ calls”.
Anchor points
Count students who reached a milestone such as Application or Deposit in the period, not only the ones sitting in that stage today.
Drill into any number
Click a cell, bar, slice or KPI tile to open the records behind it in a side drawer. Remove a chip to widen the list.
Export and a searchable gallery
Export the whole report to CSV as displayed, every page of it. Find reports by search or shelf, and pin the ones you open every week.
A gallery of more than 60 ready-made reports
Nobody starts from a blank page. Ready-made reports sit on 12 shelves, each built around a question an admissions office asks. Open one as it is, or copy it and change it. Leaderboard reports carry a minimum-volume floor, so a tiny book can't top the ranking.

Ask the way you would ask your operations lead. Xale's AI assistant answers from the leads, deals, follow-ups and calls in your workspace, instead of you building a report for a one-off question.

It only reads
The assistant counts, lists and breaks down leads, deals, follow-ups, calls and the pipeline. It never creates, edits or deletes a record.
Lead and deal answers follow your access
Answers about leads and deals follow the same visibility rules as the leads page, so a counsellor’s answers cover the leads that counsellor can open. Call counts cover the whole workspace.
Off until your admin switches it on
The assistant is off by default. A workspace admin switches it on in Settings, and then it opens from a button in the web CRM, on any page.
What it doesn't do: no AI lead scoring, AI call summaries, AI-drafted messages or AI calling, and it isn't in the Android app.

What reports does Xale include for study abroad and education teams?
Xale's reports page has 11 report tabs: Lead Overview, By Source, By Country, By Stage, User Performance, Call Analytics, Branch Analytics, Admissions, Team, Revenue and Field Insights. Together they cover sources and costs, counsellors, calls, branches, admissions and revenue.
Why does the number on a report match the list of leads it opens?
Both come from the same filter. Clicking a number opens the leads behind it with the same date rule, role scope and deal grain that produced the count, rather than a looser search on the leads page.
How does Xale count a student who applies to several universities?
Each application is its own deal under one student record. Conversions count distinct leads, so a student with three applications counts once, while the Admissions tab tracks every application through offer, deposit, visa and enrolment.
Can counsellors see other counsellors' or other branches' numbers?
No. Reports follow the same visibility rules as the leads list: counsellors see their own leads, branch managers see their branches, and admins see the whole organisation. Exports and scheduled emails never contain more than the person can see in the app.
How is cost per lead calculated?
Spend divided by leads, per source and campaign. Where Meta Ads spend is synced daily, Xale uses the real spend for your exact dates. Where only a monthly figure exists, it shares that month's spend across the days in range and marks the result as an estimate. Spend for other channels can be entered by hand.
Can reports be emailed or sent on WhatsApp automatically?
Yes. Schedule any saved report view. Xale emails a digest with CSV or XLSX attachments from the schedule owner's connected Gmail account, and can also send an approved WhatsApp template summary through Wati, Gallabox or UrbanChat. PDF is not offered.
Are Xale reports real-time?
Near real-time. Current-period figures refresh within a few minutes and are cleared when leads change, and closed periods are cached for 24 hours.
Can each role see a different dashboard?
Yes. In the role editor, an admin allows or denies each dashboard widget for a role, or a whole section at once: Summary, Leads, Calls, Payments, Performance, Insights or Tracks. The server leaves denied widgets out of that role's dashboard, so they are not just hidden on screen.
Can we save a report view and share it with the team?
Yes. Save any report tab's filters and date range as a named view, private or shared with the team. Only the view's owner or an admin can change it, and everyone who opens it still sees only the numbers their role allows. Any saved view can also be scheduled by email or WhatsApp.
Does Xale have a custom report builder?
Not yet. The Custom Report Builder is coming soon and is not yet available in any workspace. It will let you create “X against Y” reports as pivot tables, charts, KPI tiles or lists, filter them with AND/OR/NOT trees and HAVING filters, start from a gallery of more than 60 ready-made reports, and save your reports. Planned with the launch: pin a saved report to the dashboard as a widget and choose which roles see it, using the per-role dashboard-widget permissions that already exist today.
