Be honest with yourself

When Meritto is the better choice

If any of these describe you, stay with Meritto or shortlist it.

  • You are a university, college or school whose applicants fill forms, pay fees and upload documents online. Xale has no applicant-facing forms or portal.
  • You run selective admissions with GD/PI rounds, scoring and merit lists.
  • Your IT team requires SAML single sign-on or two-factor sign-in. Xale doesn’t offer these today, and we don’t claim any compliance certification.
  • You rely on Zapier, an open API or a specific telephony provider. Xale has no Zapier or public API, and TeleCMI is its only telephony integration.
  • You want a WhatsApp chatbot for student FAQs. Xale doesn’t have one.

Our product

Where Xale differs from Meritto

Xale is narrower than Meritto. It leaves the applicant’s side alone and concentrates on the counsellor’s day: calls, WhatsApp threads, hand-offs between branches and reports a manager can check.

Every counsellor call logged and recorded, on any phone

Xale’s Android app syncs every counsellor call from the phone’s call log to the right lead, with its outcome, even when the app is closed and with no per-minute charges. It also attaches the phone dialer’s own recording, and TeleCMI cloud telephony records calls from a business number on any phone, iPhone included. Capture stays off until an admin allows it for a role.

Connect Meta’s Cloud API through Embedded Signup, with Coexistence to keep the WhatsApp Business app on the same number, or the Wati, Gallabox or UrbanChat account you already have. Cloud API, Wati and UrbanChat chats share one role-scoped inbox; Gallabox brings in leads and automation sends, but not inbox replies yet.

Click any number in Xale’s 11 report tabs to open the exact list of leads behind it, built on the same filter as the leads page, so the count and the list match. “Conversions” means the same thing on the KPI strip, funnel, source table and team leaderboard, and exports never show more than the viewer can see in the app.

Each application is its own deal under the student, with its own stage, owner, payments, chat and custom fields. A student with four applications counts once in conversions, while the Admissions tab follows offer, deposit, visa and enrolment deal by deal.

Pick Study Abroad at signup and the workspace arrives with roles, dashboards and a pipeline: Inquiry → Qualify → Application → Deposit → Visa → Enrolled, with statuses such as documents pending and offers received. The scenario: a Meta or Wati enquiry passes from a counsellor to an application team, an application officer and a visa team, each with a deadline, and a manager hears about anything missed. Xale has no task objects; a step is a follow-up date, a track used as a checklist, a stage requirement or a status-to-status deadline.

The counsellor moves the lead to Qualify from the drawer or board. Stage requirements can hold the move until required fields or documents are in, and the move fires the next steps’ triggers. A status can also require a follow-up a person scheduled.

Its lead management page describes a Lead Score based on “response to the counselling or/and marketing team”. Qualifying is the counsellor’s call in either tool.

In the role wizard, set each stage’s lead access (admin, manage, edit, view or deny), follow-up and deadline levels (edit, view or deny) and territory access, such as a country manager for their countries. Hide custom fields from a role and mask phone numbers on lists. The server applies these rules when it lists, searches and opens leads; admins see everything.

When Meritto is the better choice for this scenario

If each team needs several timed tasks open at once, email reminders or an alert when a specific task runs late, shortlist Meritto and ask for a demo of exactly that. Its product pages document “Tasks & Follow-Ups”, Calendar Pro’s overdue and upcoming counts, reminder frequencies and email alerts, plus date-based communication triggers; its blog describes escalation alerts. Xale gives each role one live follow-up per lead or deal, reminds by popup, push and inbox rather than email, and has no per-lead escalation today.

Meritto alternative: questions buyers ask

Is Meritto the same company as NoPaperForms?

Yes. NoPaperForms rebranded as Meritto in June 2023, according to Meritto's own announcement. Older reviews still use the NoPaperForms name, so a NoPaperForms alternative and a Meritto alternative are the same search.

What is the best Meritto alternative for a study abroad consultancy?

It depends on where your team's work happens. If counsellors live on calls and WhatsApp from their phones, we think Xale fits well (it is our product). If you need applicant-facing forms, a student portal or an agent dashboard, Meritto itself may suit you better.

Can Xale record counsellors' calls without cloud telephony?

Yes. The Xale Android app syncs each call to the right lead and attaches the phone dialer's own recording, with no per-minute charges. For counsellors on iPhone, TeleCMI cloud telephony records calls from a business number in the cloud and files them on the lead.

Can we keep our WhatsApp provider if we move from Meritto to Xale?

If you use Wati, Gallabox or UrbanChat, yes: connect the existing account and new WhatsApp enquiries become leads automatically. You can also connect Meta's Cloud API through Embedded Signup, with Coexistence to keep using the WhatsApp Business app on the same number. If you use another provider, check with us before switching.

Does Xale have online application forms or a student portal like Meritto?

No. Xale doesn't offer applicant-facing application forms or a student portal today. Each university application is tracked inside the CRM as its own deal, and website enquiry forms can send leads in through an API-key-protected webhook.

How does Meritto's pricing compare with Xale's?

Meritto publishes annual packages tiered by the number of applications a year, with up to 15, 25 or 50 users depending on the plan (checked September 2026). Xale's current plans are on our pricing page. Whichever you compare, ask what the billable unit is and whether WhatsApp messages and telephony minutes cost extra.

What do counsellors on iPhones use?

Xale's web app in a browser, with calls through TeleCMI cloud telephony: calls on the TeleCMI business number are recorded in the cloud and filed on the lead, whatever phone the counsellor holds. Xale's mobile app is for Android and ships as an APK with in-app updates; Meritto lists apps for both Android and iOS.

Can Xale create timed tasks for each team, like a 5-minute call task?

Not as tasks. Xale has no task objects: each role on a lead or deal holds one live follow-up date, automations can assign the next team by role, and follow-up dates can be set hours or days out. A due follow-up rings its holder by web popup, Android push and inbox. There is no minute-level SLA timer; time-based rules are checked every 15 minutes.

Does Xale escalate a missed follow-up to a manager?

Not for each lead. Due reminders go only to the follow-up's holder, and deadline warnings show on the record rather than being sent. Managers see Overdue, Today and Later follow-ups for their branches on the dashboard, and a time-based automation can reassign an idle lead or assign it to a manager.
