Six steps, and the number that tells you each one is working
Most teams can describe their funnel on a whiteboard and can’t measure it on a Monday, because the CRM stores the work but counts something else. Here is the cycle Xale is built around, with the figure that proves each step.

Step 1 · Capture
Every enquiry on one pipeline, with the campaign still attached
Recruitment leaks before anyone counsels anybody. An enquiry sits in an ads account until somebody exports it, a WhatsApp message stays on a personal phone, a fair notebook never gets typed up. Every door in Xale lands in the same list, attributed.
Meta Lead Ads, with the campaign attached
Connect your Facebook and Instagram Pages once. Leads from every connected form sync about every 15 minutes, tagged with the campaign and form, and form questions map to your own custom fields. It is a scheduled sync, not an instant webhook, so plan your first-touch promise around it.
Website forms and your own sources
Your site posts to an API-key-protected webhook with no-code field mapping. Add your own source for each partner office, fair or referral scheme, and let it land leads on the stage and status you choose.
WhatsApp enquiries as leads
Connect the Cloud API through Meta’s Embedded Signup, keep the Business app on the same number with Coexistence, or use your Wati, Gallabox or UrbanChat account. On all of them an enquiry becomes a lead.
Spreadsheets, checked before they land
Import .xlsx, .xls or .csv, 1,000 rows per batch by default, with a preview that flags duplicate phone numbers before anything is written. Failed rows download to fix and re-import.
The same student, only once
Phone numbers are checked as you type, imports skip numbers that already exist, and a student who enquires again becomes a re-enquiry on the original lead, with an instant alert to its owners.

Steps 2 and 3 · Ownership and first contact
Speed to lead, split into the four clocks you can actually fix
“We respond fast” is not a number. Time to first contact is four separate clocks, and most teams lose their minutes in one of them without knowing which. Measure them apart, then fix that one.

And the report that keeps you honest
The Team tab shows the median and average time from enquiry to first call, WhatsApp or email per counsellor, the share reached within the first hour, and the spread of response times. Step 4 · Qualification
Destination, intake and course preference, as fields you can count
A funnel you can’t segment is one number that never explains itself. If intake and destination live in a remarks box, nobody can say how the September Canada book is doing, and every counsellor spells “Sep 2027” differently.
Intake as a real field
The Intake field type stores a year and a month, so “September 2027” is one value everyone picks rather than five spellings. Each application can carry its own intake when a student is chasing two.
Destination and course preference
Country is a built-in field type, and universities and courses link to the application itself. A study-preference filter asks for destination, intake and course together on the same application, instead of matching a student who wants Canada for one file and January for another.
Your university list, searchable
Import your universities and courses in bulk from Excel and use the Course Finder to filter, compare and shortlist. There is no pre-loaded library, so counsellors search the list your agency works with.
Academics and test scores
A qualification catalogue covers 10th through PhD with a score, institution and pass-out date. IELTS, TOEFL, PTE and GRE are custom fields you create as numbers or dropdowns; there are no built-in test-score fields.
Field Insights then shows how leads split across each selector field’s options, and how often it is filled in at all, so you learn that a third of this month’s enquiries carry no intake before you plan around them.
Step 5 · Counselling and applications
One student, one record, one deal per university application
The student is one lead: contact details, source and campaign, qualifications and the history of every call, message and note. Each university application is a separate deal beneath it, with its own stage and status, owner, payments, team chat and field values such as intake or destination. One file can sit in Deposit while another waits on an offer.
The student’s documents live on the student record and are shared by every application, so one passport serves all five. Stage requirements hold a file until the documents, fields, course link, role or track you specify are in place, or show as an info-only checklist that never blocks a move. Each role keeps its own follow-up, so a telecaller, a counsellor and the visa team never overwrite each other’s dates.

Why agencies outgrow a sales CRM here
A generic CRM gives a contact one deal. The second and third application end up in a notes field, and then:
- Two counsellors work the same family without seeing each other’s notes.
- “Applications in progress” and “students in progress” become the same number, and neither is right.
- A student with three offers is three conversions, so source ROI looks better than it is.
- Nobody can say how many applications this intake took per student, the ratio that decides your workload.
Step 6 · Conversion reporting
Conversion by source, campaign, counsellor, branch and intake
Recruitment questions are comparisons: this campaign against that one, this counsellor against the branch, September against January. Xale answers them from 11 report tabs, on one filter bar, one date range and the viewer’s own role scope.

Four counting rules that decide whether you believe the funnel
One student counts once
A student with three applications is one conversion, not three, so source ROI and counsellor rankings can’t be inflated by shortlisting more universities. Admissions still follows each application separately.
Milestones that don’t disappear
Mark a stage such as Deposit as an anchor point and its count includes every student whose application reached it or went further, so a month’s deposits don’t shrink as students move on to visa.
Every number opens its leads
Click a count and Xale opens the exact list behind it, using the same filter, date rule, role scope and deal grain that produced it. That is the only test of a recruitment report that matters.
Reports follow the same visibility rules as the lead list: a counsellor sees their own leads’ numbers, a branch manager their branches, an admin everything, exports included. Running the season
An intake-wise pipeline, because recruitment runs in seasons
A calendar month is an accounting unit, not a recruitment unit. Your team is closing one intake while filling the next, and the two books behave nothing alike.
Intake × journey matrix
The Admissions tab’s Intakes view counts applications by intake against each admissions step, so you watch the January book close while September builds. Steps you haven’t mapped are listed as gaps, never invented.
Targets for the season
Set targets for leads, conversions, revenue or calls per branch, role or counsellor, with start and finish points on your own pipeline, and track achievement against each.
The Monday report, without the rebuild
Save a report tab’s filters and date range as a view, share it, and schedule it: a digest with CSV or XLSX attachments from the owner’s connected Gmail, or a WhatsApp template summary through Wati, Gallabox or UrbanChat.
The dashboard carries the daily version of the same picture: 18 dashboard widgets, including follow-ups split into Overdue, Today and Later, new-lead trends and intake, source, country and branch performance, each allowed or denied per role.
Straight answers
What Xale is not: the university side of admissions
Xale is built for the agency side of student recruitment, and for institutes running their own counselling teams. If you are a university processing applications from applicants, this is the wrong tool, and the honest way to say so is a list.

Three more limits worth knowing before you shortlist: WhatsApp broadcasts go out immediately and can’t be scheduled for later; Xale is built India-first, with amounts in rupees and report days on the India calendar; and a custom report builder is not available yet, so your questions have to fit the built-in tabs, saved views and drill-downs. Student recruitment CRM: common questions
What is a student recruitment CRM?
It is a CRM shaped around the cycle an education agency runs: capture enquiries from ads, forms, WhatsApp and walk-ins; give each an owner and a fast first contact; qualify by destination, intake and course; counsel; file one application per university; and report conversion by source, counsellor, branch and intake.
How is this different from ordinary lead management software?
Lead management ends at a clean list and a next action. Student recruitment is a season: a lead can sit in counselling for months, then produce three applications, two offers and one enrolment. Xale measures that cycle, so the student is one conversion, their applications are counted separately in the Admissions tab, and the pipeline reads intake by intake.
How quickly do Meta Lead Ads enquiries reach a counsellor?
Leads from every connected form sync about every 15 minutes, with the campaign and form attached. It is a scheduled sync, not a real-time webhook. Assignment and the first WhatsApp template then run automatically, so the counsellor’s clock starts as the lead lands.
How does Xale measure speed to lead?

How are conversions counted when a student applies to five universities?
Once. Each application is its own deal under one student record, and conversions count distinct students, so five applications add one conversion. Application-level numbers stay in Admissions, which follows each file through offer, deposit, visa and enrolment.
Can we see the pipeline by intake?
Yes. Intake is a field type storing a year and month, so it filters lead lists and reports. The Admissions tab’s Intakes view counts applications by intake against each admissions step, and the dashboard has an intake performance widget.
Does Xale come with a database of universities and courses?
No. There is no pre-loaded library. You bulk-import your own universities and courses from Excel, and the Course Finder searches that list, so counsellors see only the institutions you work with.
