  • Zoho CRM is a strong, flexible, industry-agnostic CRM. Its own education page says it is “not an out-of-the-box vertical CRM solution”, so an admissions process is something you or a partner configure with modules, layouts, Blueprints and integrations.
  • Choose Xale if you want a study-abroad pipeline on day one, each university application as its own deal, every counsellor call logged and recorded on the lead (from the counsellor’s own Android phone or through TeleCMI on any phone), your existing WhatsApp provider, and report numbers that open the exact leads.
  • Stay with Zoho if your company already runs on Zoho apps, you have someone to configure it, or you need stakeholder portals, a public API, or published security certifications.

Blueprint turns a process into steps people must follow

“With Blueprints, you can capture every stage of these offline sales processes inside your CRM and execute them systematically.” For an admissions team that is a way to enforce counselling steps. Blueprint is listed from the Professional edition.

Channels: WhatsApp, Facebook lead ads and telephony

WhatsApp Business messaging appears from the Standard edition, where sending requires credits. Facebook lead ads arrive through Zoho Social: a new lead “is automatically saved to your CRM database along with contextual information, like which campaign the lead came from”. PhoneBridge connects hosted and on-premise PBX systems.

Zia on calls, and portals for stakeholders

Zoho’s education page says its AI assistant “can transcribe calls, identify and interpret sentiment, intent, and emotion behind calls”. Portals for “educators, admins, students, parents, and government auditors” are listed from the Professional edition.

Published pricing and published certifications

Zoho publishes its editions and per-user-per-month prices, with a free edition for up to three users. Its compliance page lists ISO/IEC 27001, 27017, 27018 and 27701, SOC 2 Type 2, SOC 1, GDPR and CCPA.

An honest fit check

When Zoho CRM is the better choice

If any of these fit your consultancy, Zoho CRM will probably serve you better than Xale today.

  • Your company already runs on Zoho.Extending a CRM you already own is usually simpler than adding a second vendor. Xale does not integrate with Zoho apps.
  • You have an admin, a developer or a Zoho partner.Zoho rewards configuration. If nobody owns that work, the same flexibility becomes a project that never finishes.
  • You need portals for students, parents or auditors.Zoho lists Portals from Professional. Xale has no self-serve portal where students apply, upload documents or pay.
  • Procurement requires ISO 27001 or SOC 2.Xale holds no security certification and does not claim one. Zoho lists ISO/IEC 27001, 27017, 27018, 27701 and SOC 2 Type 2.
  • You want a public API, a marketplace and sandboxes.Zoho lists APIs in every edition and sandboxes on Enterprise and Ultimate. Xale has no public REST API and no Zapier connection; website forms arrive through an API-key-protected webhook.

Why some consultancies look for a Zoho CRM alternative

None of these make Zoho a bad product. They are the reasons counselling teams start looking.

The configuration never quite finishes

Modelling applications, intakes, document checklists and a university list in a general CRM is real work, and it lands on whoever is least busy. Some teams would rather adjust a study-abroad pipeline than design one from an empty Leads module.

The WhatsApp number you already use

Zoho’s WhatsApp help says the integration needs a Meta business account and that “Only unused phone numbers can be used for the integration”. Consultancies whose enquiries already land on a number running the WhatsApp Business app, or who pay for Wati, Gallabox or UrbanChat, start looking for a CRM that takes what they have.

Recording the calls counsellors actually make

Counselling happens on the phone, usually from a counsellor’s own SIM. Zoho’s Android app can log those calls — “Auto Call Log … allows you to log calls automatically” — but recording comes from the telephony provider you connect. Teams that don’t want a telephony seat per counsellor look for capture on the phone itself.

Numbers a manager can check

In any CRM, teams eventually find a dashboard count and the list behind it disagreeing. Some want every report number to open the exact leads it counted.

How Xale differs from Zoho CRM

Six differences matter most for a counselling team, and each comes with its limits.

  1. A study-abroad workspace on day one, not a configuration project

    Pick Study Abroad at signup and the workspace arrives with roles, lead sources and an Inquiry → Qualify → Application → Deposit → Visa → Enrolled pipeline, with statuses such as documents pending and offers received. All of it is editable, and Xale ships 6 industry templates, so a coaching institute can start from Education or Academy instead. Three honest limits: one generic Visa stage rather than per-country visa workflows, no pre-loaded university library (import your own list, then use the Course Finder), and test scores such as IELTS or PTE are custom fields rather than typed ones.

    Four university applications are four deals under one lead, each with its own stage, counsellor, payments and chat, sharing the documents kept on the student’s record. The student counts once in conversions, and the Admissions report tracks offer, deposit, visa and enrolment per deal. In Zoho you model this yourself with custom modules — the trade-off of a platform: it can be shaped exactly to your process, and it has to be.

  3. Every counsellor call logged and recorded, on any phone

    The Xale Android app files every call from the phone’s call log on the right lead, with direction, duration and outcome, even when the app is closed and with no per-minute charges. It attaches the phone’s own recording, and TeleCMI cloud telephony records calls from a business number on any phone, iPhone included. Capture is off until an admin allows it per role, and a Devices page says why a phone isn’t recording.

  4. Your choice of WhatsApp provider, including the number you use now

    Connect Meta’s Cloud API through Embedded Signup, including Coexistence (the WhatsApp Business app keeps working on the same number, with up to about six months of history), or connect the Wati, Gallabox or UrbanChat account you already pay for. Cloud API, Wati and UrbanChat chats share one role-scoped inbox; Gallabox brings in leads and automation sends, not inbox replies yet. Automated sends go through Wati, Gallabox or UrbanChat only.

    Lead counts across Xale’s 11 report tabs and 18 dashboard widgets open the exact leads behind them, built on the leads page’s own filter so count and list match. “Conversions” means one thing everywhere, first-stage leads are counted by arrival date, and days follow IST. Exports and scheduled emails never show anyone more than they can see in the app. A custom report builder is not available yet: what exists today are those tabs and widgets, plus saved views you can share and schedule.

  6. Permissions down to the pipeline stage, and branches that hold

    Start from one of 4 role templates, then give each role one of five levels per stage for leads (admin, manage, edit, view or deny), with separate settings for follow-ups, deadlines, activity history and bulk edits, plus move and rollback rights. Limit access by lead source or custom-field value too. Branch managers see only their branches, and the database allows one active owner per role on each lead or deal. Zoho does this with profiles, roles, groups and territory management on higher editions.

Switching from Zoho CRM to Xale

Treat the move as a short, staged project, not a weekend cut-over. The work is mostly in deciding what your Zoho records mean.

  1. Step 1

    Export your modules

    Export Leads, Contacts, Deals and any custom modules to Excel or CSV, with the picklist values you rely on. Keep read access to Zoho for history you don’t move.

  2. Step 2

    Decide what becomes a deal

    In Xale one student is a lead and each university application is a deal. Map your Zoho records to that shape before importing, so conversions count a student once.

  3. Step 3

    Rebuild only the fields you use

    Custom fields arrive as text, number, dropdown or remark fields. Fields nobody filled in Zoho are worth leaving behind rather than migrating.

  4. Step 4

    Import in batches

    The wizard takes .xlsx, .xls or .csv with column mapping and deal setup, 1,000 rows per batch by default, a phone-duplicate preview and a download of failed rows. Universities and courses have their own import.

  5. Step 5

    Set up branches and roles first

    Create branches, pick role templates and set stage permissions before inviting counsellors, so nobody sees other branches’ leads on day one.

  6. Step 6

    Run both for a few weeks

    Send new enquiries to Xale while in-flight applications finish in Zoho. Connect Meta Lead Ads, WhatsApp and the Android app, compare weekly counts, then retire the old workspace.

Does Zoho CRM record counsellors’ calls?

Can we keep our WhatsApp number and provider if we move?

Often, yes. Other providers are not supported.
