Which is the best CRM for a study abroad consultancy?+
It depends on how your team works. If counsellors live on calls and WhatsApp from their phones, we think Xale fits best (it is our product). For a student enrolment portal, look at Meritto or LeadSquared; for sub-agents and published prices, EduCtrl. Teams already on Zoho or HubSpot may do best extending it.
How much does a study abroad CRM cost, and is it priced per user or per application?+
Most CRMs charge per user per month. Zoho, HubSpot, EduCtrl, LeadSquared (sales plans) and Salesforce publish per-user prices; Meritto doesn't publish prices, and SmartX's pages differ. Ask what the billable unit is (users, leads, students or applications) and which caps apply. WhatsApp template messages are billed by Meta, and telephony minutes are often extra. How long does it take to implement a study abroad CRM?+
It depends more on your data and decisions than on the software. A single-branch team mainly agrees stages and roles, imports leads and connects WhatsApp and lead ads; multi-branch teams also settle visibility and lead distribution. General-purpose CRMs need applications modelled first.
Should we use the WhatsApp Business app or the WhatsApp Business API with our CRM?+
The Business app suits one phone and a few linked devices, so chats stay on counsellors' handsets. The API, direct from Meta or through a provider, adds approved templates, a shared inbox, automations and a record on each lead; Coexistence lets one number use both. Xale supports Meta's Cloud API (with Coexistence) and Wati, Gallabox or UrbanChat; automated template sends go through Wati, Gallabox or UrbanChat, not the Cloud API.
Is SIM-based call recording better than cloud telephony?+
Neither is better in general. SIM-based recording uses counsellors' own phones and numbers without per-minute charges; it is an Android feature, because the phone's own dialer makes the recording. Cloud telephony records on any handset, iPhone included, and adds virtual numbers, usually billed per minute. Xale does both: native call-log sync and recording from the Android app, and TeleCMI cloud telephony on any phone.
Is it legal to record counsellor calls with students?+
We are not lawyers, and the rules depend on where you and the student are. Tell callers they may be recorded, record only for a clear purpose such as training, limit who can listen, delete what you no longer need and take legal advice for calls abroad. In Xale, call logging and recording stay off until an admin enables them for a role.
Can one CRM handle several branches or franchise offices?+
Yes, if it controls visibility by branch, not just by user, and exports follow the same rules. Meritto, SmartX and EduCtrl describe branch or hierarchy features; Xale scopes leads, reports and exports by branch and role.
How do we move from spreadsheets to a study abroad CRM?+
Clean the sheet first: one row per student, one phone format, stage and counsellor in their own columns. Map old statuses to the new pipeline, import in batches and keep the old sheet read-only for a while. Xale imports Excel or CSV with a duplicate-phone preview, and re-enquiries attach to the original lead.
Which CRM suits a 5-counsellor team, and which suits a 50-counsellor team?+
A five-person team should favour a tool it can set up without a consultant, with published pricing and calling on counsellors' own phones. A 50-counsellor, multi-branch team needs strict permissions, fair lead distribution and auditable reports: shortlist Xale, LeadSquared and Meritto, or Zoho with an in-house admin.
