- Salesforce is an enormous, mature platform, and its Education Cloud is a serious admissions system: applications reviewed and scored in one place, applicant portals, student success, advancement and Agentforce AI agents, on a platform you extend with Marketing Cloud, Tableau, MuleSoft and Slack.
- Its education pages address schools, colleges and universities, not the agencies that send students to them. Xale is built for the other side of that relationship: a study-abroad pipeline on day one, each university application as its own deal, every counsellor call logged and recorded on the lead (from Android phones or through TeleCMI on any phone), your choice of WhatsApp provider, and report numbers that open the exact leads they count.
- Stay with Salesforce if you are a university running your own admissions, if applicants must apply and pay on your own portal, or if you need a public API and app marketplace, autonomous AI agents or a published compliance certification. Xale has none of those.

Which Salesforce are you actually comparing?
“Salesforce” covers several products, and consultancies are often quoted a different one from the one they read about. It is worth knowing which is on the table before the demo.
Education Cloud
The education product, built for institutions. Its pricing page publishes four editions per user per month, billed annually, and says “These cards reflect nonprofit pricing”, directing for-profit institutions to a separate pricing guide and an account executive. A consultancy is a for-profit business, so the published cards are not your quote.

The general-business CRM, sold across industries: editions from Starter Suite upward, published per user per month, most billed annually, with free trials. It gives you leads, opportunities, reports and a platform — the study-abroad journey (intakes, universities, applications, documents, visas) is something you model yourself or with a partner.

The channels counselling teams live in are separate. Salesforce’s own guide says “To create enhanced WhatsApp channels, you need Messaging”, with each channel linked to a WhatsApp Business account in Meta Business Manager and set up by an admin, and WhatsApp is listed in the Contact Center Digital edition with separate usage rate cards. Telephony rides Partner Contact Center, such as Amazon Connect, priced per user per month with monthly minute allowances.

What Salesforce does well
On platform depth, Salesforce is in a different category from every specialist tool on this site, ours included. These strengths deserve real weight, and some of them are things Xale will never do.
Institution-side admissions, done properly
Education Cloud reviews applications and supporting information “from any source — including third-party application data — all in one, secure location”, with scoring that “captures reviewer recommendations”. That is the part of the journey an agency never owns.

When Salesforce is the better choice
If any of these fit your organisation, Salesforce will probably serve you better than Xale today. The first one is the big one.
- You are a university or college running your own admissions.This is the honest one. Education Cloud is designed for exactly that: applications reviewed and scored in-house, applicant portals, student success and advancement. Xale is a counselling CRM for agencies and does nothing on the institution side. If your buyer is an admissions office, Salesforce Education Cloud is the better fit.
- Applicants must apply, upload and pay on your own portal.Xale has no applicant-facing application forms and no student portal. Students are worked on inside the CRM by counsellors.
- You need a public API, an app marketplace or a large integration estate.Xale has no public REST API and no Zapier connection; website forms arrive through an API-key-protected webhook. Salesforce’s platform, AppExchange and MuleSoft are the opposite end of that spectrum.
- Procurement requires a named certification.Xale holds no security certification and does not claim one. Salesforce publishes its certifications and attestations.
- You want autonomous AI agents talking to students.Xale’s AI assistant is read-only: it answers questions about your workspace’s own leads, follow-ups, deals, calls and team, and cannot create, edit, assign, move, message or schedule anything. Agentforce is a different proposition.

Common reasons
Why consultancies look for a Salesforce alternative
None of these make Salesforce a bad product. They are the reasons agencies with counselling teams start looking elsewhere.
The buyer is an agency, not a campus
Salesforce’s education pages speak to schools, colleges and universities. A consultancy’s day is different: chase enquiries from ads and referrals, call and WhatsApp students, collect documents, and track applications to universities someone else runs. Nothing on the Education Cloud pages we checked is written for that side of the deal.
Setup before day one
A Salesforce org is configured to your process, and its own Education Cloud page points to implementation experts such as Accenture, Infosys and Deloitte. Smaller consultancies often want a workspace that already runs a study-abroad pipeline, with roles, statuses and sub-statuses in place, and adjust it from there.
The channels the team lives in cost extra
WhatsApp needs Messaging and appears in a digital-channels edition with its own usage rate cards, and telephony is a per-user add-on with minute allowances. Teams compare that with a CRM where the WhatsApp inbox and Android call capture are part of the product.
Who keeps it running
Platform CRMs assume someone owns the org: an admin, a partner, or both. A six-counsellor consultancy usually has neither, and wants the vendor to map the pipeline and train the team instead.

Switching
Switching from Salesforce to Xale
Treat the move as a short, staged project, not a weekend cut-over — especially if someone built flows and reports you have not opened in months.

Decide which Salesforce you are replacing
A lightly used Sales Cloud org is a different move from a built-out Education Cloud implementation. List the objects, flows and reports people actually open in a week; the rest is usually history, not workflow.
- Step 2
Export what you have
Export leads, contacts and whatever objects you built for applications to CSV, with your custom fields. Keep read access to the old org for the history you do not move.
- Step 3
Map your pipeline
Match your stages and statuses to Xale’s pipeline, and decide which records become deals — one per university application — rather than extra leads.
- Step 4
Import in batches
The import wizard takes .xlsx, .xls or .csv with column mapping and deal setup, 1,000 rows per batch by default, a duplicate-phone preview before anything is written and a download of failed rows. Universities and courses have their own bulk import.
- Step 5
Set up branches and roles first
Create branches, pick role templates and set stage permissions before inviting counsellors, so nobody sees a lead they should not on day one.
- Step 6
Connect your channels, then run both for a few weeks

Is Salesforce a good CRM for a study abroad consultancy?
It can be, if you have a Salesforce admin or an implementation partner and want one platform for everything. But Salesforce's education product, Education Cloud, is written for schools, colleges and universities: application review and scoring, applicant portals, student success and advancement. An agency that sends students to other people's universities is configuring a general CRM to its own process rather than buying a consultancy product off the shelf.
What is the best Salesforce alternative for education consultants in India?
It depends on the team. Xale suits counselling teams that want a study-abroad pipeline on day one, every call logged and recorded on each lead (from Android phones without cloud telephony, or through TeleCMI on any phone), and a choice of WhatsApp provider. Which side of the application you sit on. Education Cloud runs the institution's side: receiving applications, scoring them, offering applicant portals and managing student success and advancement. Does Xale record counsellor calls the way Salesforce telephony does?
The mechanisms are different. Salesforce's published route is Partner Contact Center telephony, such as Amazon Connect, priced per user per month with monthly minute allowances (checked September 2026). Xale's Android app logs each counsellor's own SIM calls to the right lead with no per-minute charges and attaches the phone's own recording; TeleCMI cloud telephony records calls from a business number on any phone, iPhone included.
Can we keep WhatsApp on our own number and provider?
In Xale, yes, if you use Meta's WhatsApp Cloud API, Wati, Gallabox or UrbanChat. Coexistence lets the WhatsApp Business app keep working on the same number. Salesforce's own guide says enhanced WhatsApp channels need Messaging and each channel is linked to a WhatsApp Business account set up by an admin, and WhatsApp is listed in its Contact Center Digital edition with separate usage rate cards.
How much does Salesforce cost for a consultancy, and is Xale cheaper?

How long does it take to switch from Salesforce to Xale?
Most of the time goes on decisions only your team can make: which stages you run, who owns what and what a lead needs before it can move. Export your objects to CSV, map the stages, then import 1,000 rows per batch with a duplicate-phone preview and a failed-rows download. Set up branches, roles and stage permissions before inviting counsellors, and run both systems for a few weeks before retiring the old org.
Is Xale ISO 27001 or SOC 2 certified?
No. Xale holds no security certification and does not claim one. Workspace isolation is built into its data-access layer, the database is backed up hourly to off-site storage, and integration secrets are encrypted with AES-256-GCM. If a certificate is a hard requirement, Salesforce publishes its compliance certifications and attestations.
