The calendar is set abroad, not by you. GOV.UK says a UK Student visa can be applied for up to 6 months before the course starts, with a decision usually within 3 weeks from outside the UK. For Canada, IRCC's document list says that in most cases a student must accept the offer and pay tuition in part or in full to get the provincial or territorial attestation letter that goes with the application. Each of those is a date and a document that belongs on the application record, not in a counsellor's head.

LeadSquared

LeadSquared's overseas education page describes mapping multiple course and college applications on the same lead, WhatsApp conversations on its platform, automated lead distribution, counsellor leaderboards, a custom student portal for applications and document uploads, and report drill-down by channel, team and geography. Its help centre explains that the mobile app records calls on Android with a companion tracker app and posts them as activities on the lead, while on iOS only outbound calls placed from the app are tracked. The Facebook lead ads connector maps the campaign name to a lead field and requires a paid subscription. The pricing page publishes per-user prices for its sales plans; the education pages ask you to get in touch. It suits larger consultancies that want an applicant portal and a marketing-automation stack in one vendor.

Meritto

Meritto's study abroad consultant page presents the product as part of its Enrollment Cloud and lists lead verification and scoring, application and document tracking for SOPs, LORs and visa documents, university and partner management with commission tracking, WhatsApp Business API, a cloud telephony integration, a student enrolment portal, payment collection, a mobile app for iOS and Android, and role-based access. No prices are shown; the page asks you to book a demo. It suits consultancies that want students working inside a portal and partner commissions tracked in the same system.

Zoho CRM

Zoho's education page names overseas study consultants among its use cases and says plainly that Zoho CRM "is not an out-of-the-box vertical CRM solution". It offers the Canvas no-code design studio, automated follow-ups by email or WhatsApp, and call transcription by its Zia assistant. The pricing page publishes per-user prices, a free edition for up to three users and built-in calling from the Professional edition upward. It suits a consultancy with an admin who enjoys configuration and wants a low starting cost, and it needs that admin to design the application pipeline from scratch.

Worked example: running three demos on the same student

Take a hypothetical consultancy with a head office in Kochi, a branch in Thrissur, 14 counsellors and about 600 Meta leads a month across the UK, Canada and Ireland. The owner books three demos and prepares one folder: a real student profile with a UK conditional offer, a Canadian application waiting on a PAL and an Irish rejection; one fresh lead from the live Meta form; and one counsellor's phone.

Each demo runs the same script. Create the student, add the three applications, move the Irish one to rejected and check the student still counts once. Submit the Meta form and time how long the lead takes to appear, and whether the campaign name came with it. Have the counsellor call the student from her own phone and look for the call and recording on the lead. Log in as the Thrissur branch manager and confirm the Kochi students are invisible. The owner records pass, partial or fail for each of the seven criteria and, separately, the answers to the two money questions. Tool A passes the portal questions nobody asked and fails the counsellor-phone test. Tool B passes everything once an implementation partner configures it, at a day rate the owner did not budget. Tool C passes the counsellor and branch tests and cannot offer an applicant portal. There is no universal winner in this table, only the one whose failures the consultancy can live with. That is the point of the exercise.

The costs that are not on the licence

WhatsApp. Meta's pricing documentation says the WhatsApp Business Platform is billed per delivered template message since 1 July 2025, and non-template replies inside an open 24-hour customer service window are free. Either Meta bills your WhatsApp Business account directly, or your provider bills you under its plan. No CRM changes that; ask each vendor which route it uses and whether it adds a margin.

Telephony. Cloud telephony means a second subscription, number rental and per-minute charges, in exchange for a business number that stays with the company and works on any phone. Calls from counsellors' own Android phones cost nothing extra, and the number belongs to whoever owns the SIM. The trade-offs are laid out in SIM call recording vs cloud telephony.

Data protection. The Press Information Bureau's backgrounder records that the Digital Personal Data Protection Rules, 2025 were notified on 14 November 2025, with an eighteen-month phased compliance period, a separate plain-language consent notice for each purpose, breach notification to affected individuals, a published contact point for data queries and responses to access or erasure requests within ninety days. It also lists penalties of up to ₹250 crore for failing to maintain reasonable security safeguards. A CRM that limits each role to its own students, masks phone numbers in lists and keeps an audit of who did what does not make you compliant on its own, but it makes the obligations far easier to meet. Is a generic sales CRM good enough for an overseas education consultancy?

It can be, if someone builds the missing pieces: an application object under each student, document checklists, per-role follow-ups and reports that count a student once however many applications they hold. Zoho says on its own education page that it is not an out-of-the-box vertical product. Budget that configuration time honestly, and ask who maintains it when the admin who built it leaves.

How many applications per student should the CRM handle?

There should be no fixed limit, and each application needs its own stage, owner and deadline. A student who applies to two UK universities and one in Ireland is one student with three applications, not three leads and not one lead with a status that hides two outcomes. Test it in the demo by rejecting one application and checking the other two stay where they were.

Can counsellors keep using their own phones, or do we need cloud telephony?

Both routes work and many consultancies run both. Calls from a counsellor's own Android phone can be synced and recorded into the CRM at no per-minute cost, with the number staying with whoever owns the SIM. Cloud telephony adds a subscription but gives you a business number that stays with the company and records on any phone, including iPhones. Choose by who owns the number and which phones your team carries.

What should we ask about WhatsApp costs before signing?

Ask which WhatsApp route the CRM uses, Meta's Cloud API or a provider such as Wati or Gallabox, and who sends the bill for messages. Meta charges per delivered template message, while replies inside the 24-hour service window are free.
