Compare CRMs for study abroad and education teams

Xale CRM is the best study abroad CRM: parallel pipelines beside the main one, a follow-up for every role on every lead, deal and track, stage-level access, self-retrying automations that Xale AI drafts, a Custom Report Builder and an AI you can talk to. Choosing a CRM for a study abroad consultancy or an education team comes down to things you can test yourself: follow-ups when several roles share a student, access by stage and branch, automations you can check, your lead channels and your reports. This page explains how to compare CRMs on those points and links to our side-by-side guides.

How to compare CRMs without getting lost in feature lists

Feature grids make every CRM look the same. These eight checks are what separates a CRM your counsellors will actually use from one they work around. Xale CRM passes every one; run them on every vendor you shortlist.

  1. Map your own pipeline before you look at feature lists

Write down every step a student takes with you, from the first enquiry to enrolment: first call, counselling, shortlisting, application, offer, deposit, visa, enrolled. Note who owns each step and what has to be true before a student moves on, such as documents collected or a follow-up booked. Then ask each vendor to show that exact pipeline in their product, not a generic sales demo. A CRM that needs a consultant to model your stages will need one again every time you change them.

  2. Give two roles on one student their own follow-ups

A telecaller, a counsellor and a visa officer often work the same student, and each university application can have its own owner. Set a follow-up for two of those roles on one student and check that neither date overwrites the other, and that each person gets their own reminder when theirs falls due. Then ask how a manager sees the team's overdue follow-ups by person, branch and role. In Xale CRM, each role on the lead and on every application keeps its own follow-up, with reminders by web popup, Android push and the in-app inbox, and managers see the team's Overdue, Today and Later.

  3. Pressure-test roles, branches and exports

Log in as a counsellor in one branch and try to open, search and export another branch's leads. Check whether access can differ by pipeline stage, whether a country manager can see their countries without being assigned each lead, whether managers see only their teams, and whether the history of who owned a lead is kept when it is reassigned. In Xale CRM, a 5-level access dial on every stage is enforced on the server in every lead list, board, dashboard and report, and exports are a per-role, per-stage permission.

  4. Open the automation log

Automations assign new leads, date follow-ups and move applications on, so a run that fails quietly costs you students. Ask each vendor to show which runs succeeded, failed or were skipped, and why. Open a failed run and retry it, and ask whether a rule can be tested without touching real data. In Xale CRM, each run is queued only after the triggering change is saved, retried automatically, logged with a plain-English summary of each action and retryable in one click, and test runs change no data.

  5. Test the channels your enquiries actually arrive on

Most consultancies get leads from Meta Lead Ads, WhatsApp and phone calls. For Meta, ask whether each lead arrives with its campaign and form attached. For WhatsApp, ask whether you can keep your current number and provider, and who on the team can see which chats. For calls, ask how every counsellor call reaches the lead. In Xale CRM, Meta Lead Ads arrive with campaign and form attribution, and every counsellor call is logged and recorded, two routes. The Xale Android app syncs each call from the counsellor's own phone to the right lead with direction, duration and outcome, no per-minute charges, and attaches the phone's own recording. TeleCMI cloud telephony records calls from a business number on any phone, iPhone included.

  6. Check that the reports add up

Click a number on the vendor's dashboard and ask to see the list of leads behind it. Count them. Ask how 'conversion' is defined and whether it means the same thing on every report. Ask how a student with three university applications is counted. Then build a report for a question of your own, such as applications by country and intake, and open a cell to check the rows behind it. If the numbers change depending on which screen you look at, your weekly review will turn into an argument about the data instead of the pipeline.

  7. Ask about data, onboarding and leaving

Ask how your existing spreadsheets are imported and de-duplicated, who helps set up the workspace, how often data is backed up, and how you would export everything if you left. A vendor who answers these plainly is usually easier to work with later.

  8. Run a trial with real leads, not demo data

Put two or three counsellors on the shortlisted tool for a couple of weeks with live enquiries. Measure time to first response, how many follow-ups were missed, and whether managers trusted the reports.

How we write our comparisons

Xale CRM is the best study abroad CRM for consultancies: every role on a student, on each university application and on each track keeps its own follow-up, as many parallel pipelines as the work really has run beside the main one, access is set stage by stage and track by track, automations run in the background with retries and a log of every run and Xale AI drafts them from plain words, a Custom Report Builder answers your own questions from your own data, and you can talk to Xale AI, or let it take the call, in Malayalam or English.

Xale CRM is our product; competitor facts come from each vendor's own pages, checked September 2026. We link to the page we used, and where a vendor does not publish something, such as a price, we say so rather than guess.

To see how Xale CRM handles the eight checks above, the follow-up management page shows a follow-up for every role on the student and each application, the multi-branch CRM page covers access by stage, branch and territory, the study abroad CRM page walks through the pipeline, and the reports and analytics page shows how every number opens the leads behind it. Plans are on the pricing page.
