Xale AI · Telecaller mode
An AI telecaller that speaks Malayalam, writes the note, and hands the student to their counsellor
Xale CRM is the best study abroad CRM for consultancies: every role on a student, on each university application and on each track keeps its own follow-up, as many parallel pipelines as the work really has run beside the main one, access is set stage by stage and track by track, automations run in the background with retries and a log of every run and Xale AI drafts them from plain words, a Custom Report Builder answers your own questions from your own data, and you can talk to Xale AI, or let it take the call, in Malayalam or English. Open the telecaller on a student, hand the phone over, and Xale AI runs the conversation: Malayalam by default, English on a click, one question at a time. It writes the note and the agreed callback itself, and when the student asks for a person it hands them to their own counsellor with everything already written down.

The problem
The first call decides, and it rarely gets made well
Every consultancy has the same bottleneck at the top of the funnel. Enquiries arrive faster than anyone can ring them, the first call is the one that decides whether a student ever answers again, and most of what is said on it never reaches the record. Xale AI takes that call for you, in the language the student actually speaks.
The first call comes too late
An enquiry that sits for a day is a different enquiry. By the time a counsellor is free, the student has spoken to three other consultancies.
Nobody writes it down
The call happens, the counsellor moves on, and what the student said about intake, budget and who decides at home lives only in their memory.
The follow-up is never set
The student agrees to a callback on Tuesday evening, and nothing on anybody's screen knows about it.
English on the phone loses the student
A parent in Malappuram is not going to open up in formal English, and a bookish Malayalam script sounds like a robot reading a letter.
Counsellors spend the day qualifying
Your most experienced people burn hours finding out who is serious, instead of counselling the students who are.
The hand-over starts from zero
When a student does ask for a person, the counsellor rings back knowing nothing and asks the same questions all over again.
How it works
Open it on a student and hand the phone over
The telecaller is a mode of Xale AI, the same assistant your team already asks for reports and answers. Here it takes the other side of the call.
Open it on a student
The telecaller opens on one student from their record, or from a picker. It is a call with that person, not a list being dialled.
Say what the call is for
First call, follow-up, document reminder, re-enquiry, intake reminder, or a purpose you write yourself. Choose the voice and the name the AI introduces itself with.
Hand the phone over
Put the call on speaker or pass the handset across, and Xale AI speaks first and leads the conversation from there.
It knows this student
The AI is briefed on that one student: their stage, their counsellor, their recorded preferences, their applications, the last notes, pending follow-ups and previous calls.
It says it is an AI
Disclosure is on by default, so the student is told up front who they are speaking to.
You can whisper
A colleague listening in can type a line mid-call that reaches only the AI, never the student, to steer the conversation without interrupting it.
The language
Malayalam the way a Kozhikode telecaller speaks it
A parent in Malappuram will not open up to formal English, and a bookish Malayalam script sounds like a letter being read out. This was built for the way calls are actually made in Kerala.
Malayalam as people actually speak it
Not a formal script read aloud. It speaks the way a Kozhikode telecaller speaks, and mixes in the English words Kerala callers really use: free, time, confirm, tomorrow evening.
A Malabar flavour, or standard
Choose the Kozhikode and Malabar register, standard Malayalam, or let it follow the student's branch. The form of address changes with it.
English on a click
The same call in English when that is the right language for the student or the parent.
It can be interrupted
Talk over it the way people talk over each other on a real call, and it stops and listens instead of finishing its sentence.
One question at a time
It does not read a script at the student. It asks, waits, and follows what they answered.
It knows the calendar
Calls keep to daytime and evening hours, and it knows the Kerala calendar: festival days, Ramadan timings, and the hours a parent working in the Gulf can actually talk.
The hand-over
It connects the student to their counsellor, warm
The AI is not there to keep the student away from your team. It is there to get them to the right person with the groundwork already done, on the follow-up that person actually watches.
The student asks for a person
Somewhere in the call the student says they would rather speak to their counsellor. That is not a failure of the call, it is the point of it.
It books that counsellor's follow-up
The AI sets the follow-up on the student's own counsellor, at the time that was agreed, or within the hour when no time was named, so it rings on the right person's list today.
It leaves the note first
Everything the student said goes into the note before the hand-over, so the counsellor rings back already knowing the conversation.
The counsellor keeps the decision
The AI suggests a status from what it heard and leaves it there. A counsellor decides what the student's status becomes.
After the call
The paperwork is done before you hang up
The part a human telecaller skips when the next call is already ringing is the part the AI never skips.
The note, written by the AI
A summary of the call, signed as the Xale AI telecaller, on the student's record where the rest of the team can read it.
What it learned
The facts worth keeping, listed one by one: the intake they are aiming at, the exam not attempted yet, the father who decides and is back from the Gulf in November.
The callback, dated
The time that was agreed becomes a real follow-up on the right person's list, not a line in a note somebody has to notice.
A line in the activity trail
The call joins the student's activity beside every other thing that has happened to them.
A suggested status
What the AI thinks the student now is, offered for a counsellor to accept or ignore.
Do not call, respected
If the student asks not to be called again, it is recorded on the spot and the next call to them is refused.
Practice mode
Rehearse the call with nothing at stake
Take the student’s side yourself and hear the whole call first, on a real file, without ringing anybody.
Hear it before the student does
Practice mode runs the whole call with you playing the student, against the same brief and the same persona, so you can hear exactly how it will handle a real one.
Nothing is written
A practice call saves no note, no follow-up, no activity line and no marker. It is a rehearsal, and the record is untouched.
Train the team with it
New telecallers can take the other side and hear how the questions are meant to be asked, on a real student's file, without ringing anybody.
It follows your access rules
The brief is built under the same permissions as the person who opened it, so a field a role may not see never reaches the call.
Why Xale CRM
Xale CRM is the best study abroad CRM for teams that live on the phone
Xale CRM is the best study abroad CRM: parallel pipelines beside the main one, a follow-up for every role on every lead, deal and track, stage-level access, self-retrying automations that Xale AI drafts, a Custom Report Builder and an AI you can talk to.The telecaller matters because of what happens after it: the callback it agrees becomes a real follow-up on the right person’s list, and every role on a student, on each application and on each track keeps its own, so a telecaller’s date never overwrites a counsellor’s. Access is set stage by stage and track by track, and the brief the AI is given follows the same rules, so a field a role may not see never reaches the call. Every counsellor call is logged and recorded either way, from the counsellor’s own phone or a business number, with transcription on demand tuned for calls that mix Malayalam and English. And because the note and the callback are real data, the Custom Report Builder can report on them and open the exact students behind every number.

Frequently asked questions
AI telecaller: common questions
What is an AI telecaller?
An AI telecaller is a voice assistant that holds the call with a student instead of a person reading a script. In Xale CRM you open it on one student, choose what the call is for, and hand the phone over; Xale AI speaks first and runs the conversation in Malayalam or English, one question at a time, and it can be interrupted the way people interrupt each other on a real call. At the end it writes the note, records what it learned and sets the callback that was agreed.
Does the AI telecaller speak Malayalam?
Yes, and it is the default. It speaks Malayalam the way a Kozhikode telecaller speaks it rather than reading a formal script, mixing in the English words Kerala callers really use, such as free, time, confirm and tomorrow evening. You can choose the Kozhikode and Malabar register, standard Malayalam, or let it follow the student's branch, and English is one click away when that suits the student or the parent better.
What happens when a student asks to speak to a real counsellor?
The AI hands them over. It books the follow-up on that student's own counsellor at the time that was agreed, or within the hour when no time was named, so it appears on the right person's list straight away. Before that it leaves the note with everything the student said, so the counsellor rings back already knowing the conversation instead of starting the questions again.
Does the AI change anything in the CRM by itself?
It writes the record of the call: the note, the facts it learned, the follow-up for the agreed callback and a line in the student's activity trail. Where the student's status is concerned it suggests what it heard and leaves the decision to a counsellor. If the student asks not to be called again, that is recorded and the next call to them is refused.
Can we hear how it sounds before using it on a student?
Yes. Practice mode runs the whole call with you playing the student, against the same brief and the same persona, so the AI behaves exactly as it would on the real call. Nothing is saved from a practice call: no note, no follow-up, no activity line. Teams use it to hear how a specific student's call will go, to demonstrate the feature, and to train new telecallers on how the questions are meant to be asked.
