Pick Academy at signup and your workspace starts with a three-stage pipeline, counsellor and telecaller roles, a follow-up for every role, five lead sources including walk-in and referral, and a Programs catalogue for your programmes and their variants (levels, formats, timings), each with its own fee. Add a deal stage and each enrolment moves as its own deal, linked to the exact variant chosen, with a Payments tab for EMI plans and Razorpay links. Every stage, status and sub-status can be renamed, reordered or extended, and stages for demos or fees sit wherever you want them.

Reason 1
A follow-up for every role, on the enquiry, the enrolment and the track
The most common way an academy loses a learner is a follow-up that belonged to nobody, or to two people whose dates overwrote each other. Xale CRM keeps a follow-up per role at three levels, each with its own reminder, and shows the whole team’s Overdue, Today and Later by user, branch and role on the dashboard, with the rail switching between Leads and Tracks.
On the enquiry (lead)
The telecaller who first calls, the counsellor who qualifies and the trainer who takes the demo can all be assigned to one enquiry, one active person per role, and each keeps their own follow-up, one per role enforced by the database. When the enquiry enters a stage, a follow-up opens for every assigned role that works that stage, dated by the stage's own Due in N days dial, and each owner is reminded by web popup, Android push and the in-app inbox when it falls due.
On the batch enrolment (deal)
Add a deal stage and each enrolment is its own deal, pointing at the exact programme variant, level or batch chosen, with its own owner, stage, payments and team chat. A learner who enrols in two programmes has two deals, each with its own follow-up per role, and counts once in conversions.
On the track
A Placement, Fee collection or Certification track runs beside the pipeline as its own workflow with its own steps. Tracks run beside the pipeline as their own workflows on a student, such as Loan, Interview preparation or Visa filing, each with its own steps. A track carries its own assignment, one person per role per student and track, given by hand, in bulk, by the "Assign track" automation or automatically to the least-loaded eligible member, and each role on a track keeps its own follow-up, independent of the pipeline stage, dated by that track's own "Due in N days" dial and reminded by Android push and the in-app inbox. The follow-ups rail switches between Leads and Tracks, a track head sees an Unassigned list, and a hand-over restarts only the handed-over role's follow-up.
A “Maximum days allowed” dial stops staff scheduling a follow-up further ahead than you allow, a status can require a scheduled follow-up before a learner moves into it, and when an enquiry is reassigned the new person takes over that role’s follow-up. How follow-ups work in Xale CRM →
Reason 2
Access by role, centre and track
Roles start from 4 role templates (Admin, Manager, Counsellor and Custom) and set a 5-level lead-access dial on every pipeline stage(Admin, Manage, Edit, View or Deny), enforced on the server in every lead list, board, dashboard and report. Visibility follows centres: admins see everything, centre managers see their centres’ enquiries and enrolments on the stages they manage, and counsellors see the enquiries assigned to them. A field such as Programme or City can be limited per user to certain options or denied to a role so it disappears from pickers, cards, filters and exports.
Each track has its own per-role access, Manage, Own, Edit, View or Deny, enforced on the server: Own members see and work only the students on that track assigned to them, View sees the track, Edit assigns it or changes its step, and Manage sees every student on the track and alone removes it.
Follow-up and deadline access (Edit, View or Deny) and the activity timeline are set stage by stage, assignment rules say who may hand enquiries to whom, exporting is a per-role and per-stage permission that never includes phone or WhatsApp numbers for staff other than admins, and call recordings stay off for every role until an admin switches them on. One active owner per role per enquiry, enrolment or track is enforced by the database, and assignments are revoked, never deleted, so the ownership history is kept. Reason 3
Automations that distribute enquiries and chase fees, built to be relied on
26 automation actions, including Auto-distribute and Shuffle, Set / update follow-up for a chosen role, Close follow-ups, Send WhatsApp template, Assign track, Move deal, Sync deals, Delete deals and Send API request. Rules start when an enquiry is created or re-enquires, is assigned, or changes stage, status or sub-status, when an enrolment deal is added or moves, or when a track is assigned, removed or completed, and time-based rules work through idle enquiries, enquiries with no follow-up and enquiries older than N days.
Give every new enquiry to the right counsellor
On Lead created, Auto-distribute to role hands the enquiry to the counsellor in its centre with the fewest assignments, and Set / update follow-up dates that counsellor's first follow-up at a set time of day, with the guard "only if there is no follow-up yet".
Reply on WhatsApp inside or outside business hours
Send an approved template from your Wati, Gallabox or UrbanChat account when an enquiry arrives, with the learner's name and programme filled in, and a different after-hours reply when it arrives after closing.
Book the demo, then chase the decision
When the status changes to Demo scheduled (a status you add), set the trainer's follow-up for the demo date; when it changes to Demo done, set the counsellor's follow-up for the next day and close the trainer's pending follow-up with Close follow-ups.
Start placement work on enrolment
When an enrolment deal reaches Enrolled, Assign track puts the learner on the Placement track at its first step, and the Track completed trigger starts the next rule when the track is finished.
Remind about every instalment
EMI plans on each enrolment deal remind the deal owner before the due date, on the day and daily while an instalment is overdue, and a Razorpay payment link sent by WhatsApp or email records the payment on the deal when it is paid.
Push the enrolment to your other systems
Send API request pushes the learner's details to any system of yours that accepts a web request, so what you record in Xale reaches the tools your trainers use.
Distribution for busy seasons
"Auto-distribute" hands new leads to a role, a branch or a branch's users, least-loaded first, and "Shuffle" moves leads between the users of chosen roles across chosen branches with the lead never leaving its own branch. Both skip users who already hold more overdue follow-ups than the limit you set, with a fallback you choose, can except named users or branches, and work through every matching lead in the background.
Reliable by design
Each event automation is queued only after the change that triggered it is saved, then runs in the background with automatic retries and increasing delays. Every run is logged as successful, failed or skipped with a plain-English summary of what each action did, an hourly job re-runs recent failures and records a summary in the system log, and any failed run can be retried in one click. Automations run in priority order, can stop at the first failed action, can be test-run without changing any data and are protected against endless chains of rules triggering each other. Background work runs on a separate worker server: 22 background job types with automatic retries, and WhatsApp and Gmail sends are tried up to 5 times.
