A follow-up for every role, on the learner, the enrolment and the track
Course sales leak when a callback belongs to nobody, or when the demo call and the payment call overwrite each other. Xale CRM keeps a follow-up per role at every level, each with its own reminder, and shows the whole team’s Overdue, Today and Later by user, branch and role on the dashboard.
On the learner (lead)
The telecaller who books the demo, the trainer who takes it and the counsellor who closes the sale can all be assigned to one learner, one active person per role, and each keeps exactly one live follow-up, enforced by the database. Each owner gets a web popup, an Android push and an in-app inbox entry when theirs falls due, and every stage carries Due in N days and Maximum days allowed dials.
On each enrolment (deal)
Add a deal stage and each enrolment is its own deal with its own stage, owner, payments and team chat. A learner who upgrades or moves cohort has a second deal with its own follow-up per role, and still counts once in conversions.
On each track
Parallel pipelines run beside the main one: a Fee collection or Placement track is a small pipeline of its own, with its own steps, person, per-role access and follow-up. A learner moves along the main pipeline once and holds exactly one step on each track.

Reason 2
Access by role, branch and track
Roles start from 4 role templates (Admin, Manager, Counsellor and Custom) and set a 5-level lead-access dial on every pipeline stage(Admin, Manage, Edit, View or Deny), enforced on the server in every lead list, board, dashboard and report. Visibility follows branches: admins see everything, branch managers see their branches’ learners on the stages they manage, and reps see the learners assigned to them. Staff other than admins never get phone or WhatsApp numbers in an export, and automated assignment skips anyone checked out.
Each track has its own per-role access, Manage, Own, Edit, View or Deny, enforced on the server: Own members see and work only the students on that track assigned to them, View sees the track, Edit assigns it or changes its step, and Manage sees every student on the track and alone removes it.

Reason 3
Automations for launch week, built to be relied on
26 automation actions, including Auto-distribute and Shuffle, Set / update follow-up for a chosen role, Close follow-ups, Send WhatsApp template, Assign track, Move deal and Send API request. Rules start when a lead is created or re-enquires, is assigned, or changes stage, status or sub-status, when an enrolment deal is added or moves, or when a track is assigned or completed.
Launch day: every ad lead to the right rep
On Lead created, Auto-distribute to role hands each Meta lead to the least-loaded inside-sales rep, and Set / update follow-up dates their first call, with the guard "only if there is no follow-up yet".
Remind before the demo class
When the status changes to Demo booked (a status you add), send an approved WhatsApp template from your Wati, Gallabox or UrbanChat account with the learner's name and course filled in, and date the trainer's follow-up for the demo.
Chase the decision after the demo
When the status changes to Demo attended, set the counsellor's follow-up for the next day and close the trainer's pending follow-up with Close follow-ups.
Defer, do not lose
When a learner says "next month", the status moves to Deferred to the next batch and a Set / update follow-up rule dates the counsellor's call for two weeks before the next cohort.
Remind about every instalment
EMI plans on each enrolment deal remind the deal owner before the due date, on the day and daily while an instalment is overdue, and a Razorpay payment link sent by WhatsApp or email records the payment on the deal when it is paid.
Hand the learner to your LMS
When the Enrolled status is set, Send API request pushes the learner's details to your LMS or any system of yours that accepts a web request.
Distribution for launch days
"Auto-distribute" hands new leads to a role, a branch or a branch's users, least-loaded first, and "Shuffle" moves leads between the users of chosen roles across chosen branches with the lead never leaving its own branch. Both skip users who already hold more overdue follow-ups than the limit you set, with a fallback you choose, can except named users or branches, and work through every matching lead in the background.
Reliable by design
Each event automation is queued only after the change that triggered it is saved, then runs in the background with automatic retries and increasing delays. Every run is logged as successful, failed or skipped with a plain-English summary of what each action did, an hourly job re-runs recent failures and records a summary in the system log, and any failed run can be retried in one click. Automations run in priority order, can stop at the first failed action, can be test-run without changing any data and are protected against endless chains of rules triggering each other. Background work runs on a separate worker server: 22 background job types with automatic retries, and WhatsApp and Gmail sends are tried up to 5 times.

It says teams can “capture leads from ads, websites, phone inquiries, and offline interactions” and “prioritize leads and distribute them automatically”, capture student inquiries and app installs from publisher websites and lead forms, act on lead stage and follow-up reminders, manage WhatsApp conversations on its omnichannel platform and “track overall and source-wise performance of sales, courses, teams, and more”. Meritto offers “one unified platform for learner acquisition, retention, and upsell”. It distributes leads “based on course, location, availability, language, or performance record”, automates “adding notes, marking follow-ups, or triggering sales communication”, lists in-app calling, WhatsApp Live Chat and the WhatsApp Business API, and describes payment links, auto-debit on due dates, short-term EMIs through loan partners and campaign dashboards that connect marketing spend with enrolments. Its pricing page says pricing “is annual and based on institution size”.

ExtraaEdge
ExtraaEdge describes a “holistic admissions solution created for tech-first learning businesses”. It brings lead channels such as Facebook, Instagram, LinkedIn and third-party vendors into one platform, assigns leads with a customised rule engine by location, source, course and language, and describes a visual student journey, an inbuilt payment module and over 150 admissions and marketing reports. Its menu lists a product to “route, record and track all your counsellor calls”. Pricing is not published on its site; it offers a demo.

Zoho CRM
Zoho names “Ed tech companies, online schools, coaching and training centers” among those that need a modern CRM. It describes auto-qualifying leads “into various funnels based on pre-configured rules”, “automated follow-ups for students or parents via email, WhatsApp, or other apps” and a course library, and its disclaimer says Zoho CRM “is not an out-of-the-box vertical CRM solution; it's an industry-agnostic CRM platform that can be customized to suit various industries”. Its pricing page lists paid editions and a Free Edition, “free forever for 3 users”.

HubSpot
HubSpot's guide to CRM for education is written for schools and institutions, and the product behind it is HubSpot's general CRM. It covers managing interactions with prospective and current students, assigning leads to enrolment officers, personalised sequences so prospective students “hear from you at the ideal time”, fee payment tracking with reminders and marketing ROI by source. Its free CRM page covers “up to two users, 1,000 contacts, and no limits on customer data”, and paid editions are priced per seat.

Salesforce Education Cloud
Salesforce's Education Cloud covers “the entire learner lifecycle” at institutions, across recruitment and admissions, lifelong learning and K-12. It describes “marketing automation and AI built directly into your CRM” for recruitment and, for lifelong learning, “a modern storefront experience that surfaces relevant course, program, and degree offerings to students”, and says Education Cloud has “purpose-built modules, data models, and AI-first workflows”.
