A school admissions office, a single coaching centre or an academy often needs the first four rows done well and nothing more. Meta's developer guide contrasts the two ways software fetches leads: bulk reads are "suitable if you want to fetch new leads a few times a day", while webhooks retrieve "every new lead" as it is created (Meta, lead ads guide). Ask each vendor which one it uses and how often. Then ask what happens to a duplicate: the second enquiry from the same phone should attach to the first record as a re-enquiry, not create a competitor for it.
Job 2: distribute to the right person, fast
Take a hypothetical institute, Northgate Academy, with three centres in Kerala, eight telecallers and 900 enquiries in April. Its rules, in order:
- A lead with a centre preference goes to that centre.
- Within the centre, least-loaded telecaller first, so the person who just took a walk-in does not also get the next ad lead.
- NEET enquiries go only to the two telecallers who know the NEET batches.
- A lead untouched for two hours in the working day is reassigned to whoever is free.
- A parent who enquires again for a second child goes to the same telecaller.
That is five rules, and every lead-management tool worth buying can express at least the first three. The fourth needs time-based automation; ask how often it runs. The fifth needs the duplicate check from Job 1.

Job 3: follow up without dropping anyone
The failure mode is not a missing feature. It is a telecaller, a counsellor and a centre head all writing to one "next follow-up" field on the same student, so each overwrites the last. What good looks like:
- One follow-up per role per lead, so a telecaller's call date and a counsellor's demo date coexist.
- Overdue, Today and Later counted by India calendar day, not by hours since the timestamp.
- A reminder that reaches the person: a web popup, a phone push, an inbox.
- The call and the WhatsApp message logged on the lead, with the outcome, so the next follow-up is set from facts.
- A manager view of the team's follow-ups by user and by centre.
Ask the vendor to show a student with two roles assigned and two different follow-up dates. If the demo cannot do it, the product cannot.
Job 4: report what happened to every lead
A lead-management report answers four questions: where did leads come from, who worked them, how fast were they contacted, and what did they become. The test that separates a report from a chart is the click. Click "Meta, April, Centre 2: 210 leads" and the list that opens should have 210 rows. When it has 180, you will spend the review arguing about the other 30. The usual reasons are date boundaries, deleted leads, duplicates and role-scoped visibility, all covered in why a CRM report does not match the leads list.
Cost per lead belongs here too. If the tool pulls daily ad spend beside each campaign, cost per lead and cost per demo are a division, not a spreadsheet exercise.

Two notes. LeadSquared's and Meritto's pages both describe a numeric lead score; if your telecallers already know which leads are warm, ask whether the score would change what they do. And no page we checked states a sync interval for ad leads, so ask.

How quickly should a new education lead be contacted?
There is no sourced industry number we would quote, so set your own rule and measure it. A workable target for most institutes is a first call or WhatsApp message within the working hour the lead arrives, with an automatic reassignment if it sits untouched. The software's job is to make the delay visible per counsellor, so the rule is enforced by a report rather than by nagging.
Do we need lead scoring?
Ask what the score would change. In a small telecalling team, the counsellor who spoke to the parent already knows whether the lead is warm, and a score built from form fills and email opens adds little. Can lead management software stop duplicate leads?
It should check the phone number when a lead is created, whether by a counsellor, an import or an ad sync, and either block the duplicate or attach the new enquiry to the existing record. The second behaviour is better for institutes, because a parent who enquires twice is a signal, not an error. Ask to see both an import and a manual add with a duplicate number in the demo.
