Most lists of education CRM software in India rank a dozen tools on one scale and leave you to work out which were built for a school, a NEET coaching centre or a study abroad consultancy. This shortlist works the other way round. First come six things an Indian admissions team needs that global CRMs often treat as extras. Then come the tools worth a demo in each segment, described only from each vendor's own pages, checked September 2026. It is written for owners, admissions heads and centre managers choosing a system before the next intake or results season.

How to judge education CRM software in India: six tests
Global CRMs were designed for email, a desk phone and a salesperson. Indian enrolment runs on WhatsApp, on counsellors' personal mobiles and on Facebook and Instagram forms, and your "today" starts at midnight IST. These six tests catch the tools that cannot handle that.

Everything below comes from each vendor's own public pages, checked September 2026, with a link to the page we read. We give no prices, no ratings and no customer counts from their marketing.
Study abroad consultancies
LeadSquared's overseas education page says you can "map and view multiple course/college applications on the same lead". It also offers a custom student portal where students apply and upload visa or course documents, WhatsApp APIs and cloud telephony, and reports that drill down by channel, team and geography. Meritto's study abroad page lists:
- application and document tracking for SOPs, LORs and visa documents
- university and partner management with commission tracking
- the WhatsApp Business API and cloud telephony
- a student enrolment portal and payment collection
- a mobile app for iOS and Android

Coaching institutes
ExtraaEdge's coaching page describes:

- a smartphone app to call, SMS, email and WhatsApp prospects
- leads captured automatically from incoming calls
- publisher integrations including Shiksha, CollegeDunia and CollegeDekho
TeleCRM's education page describes a 1-click dialer, automatic call recording, automatic lead distribution to counsellors, WhatsApp API integration, and imports from Excel, Google Forms, Justdial and Shiksha. Its homepage adds automatic lead capture from Facebook and Instagram. LeadSquared's education page lists multi-centre training institutes among its segments. Listing-portal connectors matter more in coaching than in any other segment, so ask each vendor for its exact list of portals.
Colleges and universities
Meritto's homepage lists an advanced form builder, an application manager, a student admission portal, shortlist and merit list generation, online scoring and evaluation, document verification (DocVerify) and payments. ExtraaEdge's homepage describes an application management system with a form builder, document verification, payment integration and video GD-PI rounds. Salesforce Education Cloud names recruitment and admissions, student success, and advancement and alumni relations as its areas. For a large university, how the CRM connects to your ERP or student information system matters more than the CRM itself, so put integration on the first demo's agenda.
EdTech and online courses
LeadSquared's EdTech page describes capturing leads and app installs from ads, publisher websites and lead forms. It also covers rules for automatic distribution, qualifying leads "to help sales in prioritization", and WhatsApp on its omnichannel platform, and it links to API documentation. ExtraaEdge's homepage lists EdTech among its industries and describes AI lead intent scoring, plus AI calling that qualifies large volumes of enquiries before a counsellor steps in. If your team works thousands of web leads a week, prioritisation is the part to test hardest.
K-12 schools
Meritto's K-12 page covers:

LeadSquared's school page describes a mobile-friendly portal where parents apply, upload documents, sign forms, check status and pay online. It says pricing "varies based on the number of staff users, the volume of inquiries handled, and the depth of customization required". ExtraaEdge's school page lists integration with website forms and Facebook and Google Ads, and a mobile app for inbound and outbound calls.
Built by you: Zoho CRM
Zoho's education page names coaching and training centres and overseas study consultants among the organisations it has in mind, and states that Zoho CRM "is not an out-of-the-box vertical CRM solution". It offers the Canvas no-code design studio, automated follow-ups by email or WhatsApp, and call transcription by its Zia assistant. It suits a team with an admin who will build the pipeline, and whose owner budgets for that build.
Worked example: a weighted scorecard for a coaching institute
Take a hypothetical NEET and JEE coaching institute with centres in Kozhikode and Malappuram, six telecallers and about 700 enquiries a month in results season. The owner sits through three demos and scores each India test from 0 (fails) to 3 (passes on the institute's own data). The weights follow where the telecallers' day actually goes.

The arithmetic: multiply each weight by its score, add them up and divide by 3. Tool A scores (75 + 40 + 60 + 15 + 20 + 10) ÷ 3 = 220 ÷ 3, about 73. Tool B works out the same, and Tool C scores 210 ÷ 3 = 70.
Four decision rules turn the table into a choice:
- Knock-outs first. Any 0 on a test weighted 20 or more rules a tool out, whatever its total. Nobody scored 0 here.
- A tie goes to the heaviest weight. Tool A beats Tool B because it passes the telecalling test, which is a quarter of the score and most of the working day.
- Price the winner's weakest score. Tool A scored 1 on calendar days. Before signing, ask whether Overdue and Today can be made to follow IST through configuration, and get the answer in writing.
- Re-score using the written quote. Replace the demo-day cost score with the one from the rupee quote, add-ons included.
A study abroad consultancy would change the weights. Several applications under one student becomes a seventh test worth 25, and telecalling drops to 15.
DPDP readiness: what to ask a CRM vendor
Under the DPDP Act your institute or consultancy decides why and how student data is used, which is what the Act calls a Data Fiduciary. The CRM vendor processes that data for you. Every row below comes from the obligations in PIB's backgrounder on the DPDP Rules, 2025. This is a buyer's checklist, not legal advice.

Which education CRM software is best for a small institute in India?
There is no single best tool, only the best fit for your segment and size. A small coaching centre or consultancy should weight calls from counsellors' own phones, WhatsApp and Meta lead capture most heavily, because that is where its day goes. Demo three tools on the same script with your own enquiries, score each India test from 0 to 3, and rule out any tool that fails a heavily weighted test.
Do education CRMs in India charge for WhatsApp messages?
The message charges come from Meta or your WhatsApp provider, whichever CRM you use. Meta charges per delivered template message since July 2025, and non-template replies inside an open customer service window are free. Since January 2026, Meta can bill businesses whose sold-to country is India in rupees. Ask each CRM vendor which route it uses and whether it adds its own fee per message on top.
Does the DPDP Act apply to a coaching institute or consultancy?
If you decide why and how student data is collected and used, the PIB definition of a Data Fiduciary describes you, and that includes phone numbers and enquiries in a CRM. The Rules were notified in November 2025 with an eighteen-month phased compliance period, and requests to access or erase data must be answered within ninety days. Take your own legal advice on your specific obligations.
How many education CRMs should we demo before choosing?
Three is usually enough, provided each demo follows the same script and uses your own data. Bring one student with several applications or courses, one live Meta lead, one counsellor's phone and one branch manager's login. Score the six India tests straight after each demo, before the next one blurs it, and ask for a written quote in rupees with every add-on listed.
