Worked example: the window in practice
Take a hypothetical student, Anjali, who messages your number on Monday at 10:00 asking about nursing programmes in Australia. The window is open until Tuesday at 10:00. A counsellor who replies on Monday afternoon can type freely, send a brochure PDF and a voice note, all free. If the reply slips to Tuesday at 11:00, only an approved template can go out, and it is billed per delivered message. If Anjali replies to that template, a fresh 24 hours opens. The lesson is operational, not technical: the CRM should show the time left in the window on every chat, and the follow-up should be due inside it.
Seven criteria for the best WhatsApp CRM for education

- Chats live on the student record. Not in a separate inbox tab you have to search. When a counsellor opens Anjali, the WhatsApp thread, the calls and the applications are on one screen.
- Visibility follows the lead, not the number. Counsellors see chats for their own students, branch managers their branches, admins everything. - Provider choice, and keeping your number. If you already pay Wati or Gallabox, the CRM should connect that account rather than make you migrate a number. If you are starting fresh, it should connect Meta's Cloud API directly, with Coexistence if the owner lives in the Business app.
- Templates in two places. By hand from the chat, and from automations when a stage or status changes: a welcome when a lead lands, deposit instructions when a deal reaches Deposit.
- Broadcasts to a segment, not the whole database. Filter by stage, course interest or branch, from an approved template, to opted-in students only. Blocks and reports lower your quality rating.
- An opt-in switch per student. So a "please stop" message on Sunday is honoured on Monday without a developer.
- The rest of the CRM. Applications as separate records, follow-ups by role, calls from counsellors' phones, reports that open lists. WhatsApp is one channel; the student journey is the product.

Not necessarily. Meta's Cloud API can be connected directly from a CRM that supports Embedded Signup, with no provider in between. A provider makes sense when you already have an account and a number with them, when you want their chatbot or campaign tools, or when your CRM only connects through providers. Ask each vendor which routes it supports before you move a number.
Can several counsellors use one WhatsApp number from a CRM?
