What a lead management system for education is

Strip away the vendor language and it is a system of record for enquiries. For every person who has asked about a course, a country or a seat, it answers the four questions above without anyone opening their phone. If an answer lives in a counsellor's memory or personal WhatsApp, that lead is not being managed.

The rule that makes it work: every state except Lost has a named person and a date. A lead with neither is a lead you paid for and are not working.

Dedupe: the quiet component that decides your numbers

The same Indian mobile number reaches you in many shapes: "98470 12345" in a walk-in register, "+91 9847012345" from a Meta form, "09847012345" in an old spreadsheet and "919847012345" from a WhatsApp integration. A system that compares numbers as typed sees four people. A system that stores every number in one international format before comparing sees one.

Take a hypothetical consultancy in Kochi moving 1,200 rows from three spreadsheets into its first system, and assume 15% of rows are the same students written differently: 180 rows. Without dedupe the list shows 1,200 leads; with it, 1,020. If 36 students enrolled, the conversion rate reads 3.0% on the inflated list and about 3.5% on the clean one, and up to 180 students risk a second "first" call from a different counsellor.

The ERP row comes from a real example. The Ministry of Education's Samarth initiative gives universities and higher education institutions "a fully managed, cloud based, comprehensive ERP" with "9 packages comprising of 40+ modules", including Admissions, Fee Management, Payroll Management, Hostel Management and Library Integration (Samarth, about the initiative). None of it is built to get Tuesday night's enquiry called by Wednesday morning.

A study abroad consultancy does not need a student ERP, because enrolment happens at the university; lead management and the CRM are its whole system. A college or school needs both, with a clean hand-off at admission: name, verified phone, programme or class, fee status and documents. For a consultancy, a student recruitment CRM follows the same lead from capture to enrolment in one place.

Your lead record is also a compliance record

India's Digital Personal Data Protection Act, 2023 changes what a good lead record looks like. Its Rules were notified on 14 November 2025 with an eighteen-month period for phased compliance, according to the government's PIB backgrounder on the DPDP Rules. Five provisions in the text of the Act map straight onto lead management:

Frequently asked questions

Is a lead management system the same as an LMS?

No, and the shared initials cause confusion with vendors. In education, LMS normally means a learning management system, which runs courses, tests and grades for enrolled learners. A lead management system works before enrolment: it captures enquiries, removes duplicates, assigns an owner, schedules follow-ups and reports what happened. Say "lead management" in full on sales calls, or you may spend a demo watching a course platform.

Do we need a lead management system if we already have an ERP?

Probably. An ERP is built around admitted students: examinations, fees, payroll and administration. If yours has an enquiry module, ask whether it assigns enquiries by rule, keeps separate follow-ups for a telecaller and a counsellor on one lead, and reports cost per lead by campaign. If not, and enquiries go cold before anyone calls, the gap is lead management, and a bigger ERP will not close it.

When does a small team need a lead management system?

The shape of the work matters more than the volume. The signals are more than one person working the same list, more than one source feeding it, or an owner who cannot say today how many enquiries await a first call. One counsellor with twenty enquiries a week can manage on a sheet. Three counsellors sharing Meta leads, walk-ins and WhatsApp usually cannot, because nobody is sure whose lead it is.

Does the DPDP Act make a lead management system compulsory?

No. The Act names no software. It requires a notice with every consent request, a way to withdraw consent as easily as it was given, proof of notice and consent if questioned in a proceeding, and erasure once the purpose is over unless a law requires you to keep the data.
