Xale HR Suite · Included on every plan

CRM with HR software: attendance, leave and payroll in the login your team already uses

The Xale HR Suite is included with every Xale CRM plan at no extra cost. Switch it on in Settings and every team member who logs in to the CRM is already an employee: one person, one login, one record. Attendance with breaks and shifts, leave, WFH, payroll and payslips run beside your leads, and the Check in button that starts the day also decides who receives the next lead.

The problem

Your CRM and your HR tool keep two lists of the same people

Most growing teams run two systems for the same people. Leads, calls and follow-ups live in the CRM. Attendance, leave and salaries live in an HR tool, a register or a spreadsheet. The two never talk, so the CRM keeps handing new enquiries to people who are on leave, and HR finds out who left the company a month after the CRM did.

Two user lists that never agree

A new counsellor gets a CRM login on Monday and an HR account a week later. Someone who leaves keeps one of them for a month, because two systems keep two lists of the same people.

New leads go to people who are not at work

Round-robin does not know who is on leave, at lunch or gone home, so a hot enquiry waits all afternoon with someone who will never ring it.

The first one in gets the overnight backlog

Leads that arrived at night all land on whoever logs in first, while the rest of the team starts the day with nothing to work.

Attendance here, performance there

Late check-ins sit in the HR tool and calls and conversions sit in the CRM, so nobody sees a person's day on one screen.

Approvals on WhatsApp, salaries in Excel

Leave is asked for in a chat, approved with a thumbs-up and typed into a sheet at month end, where payroll is also worked out by hand.

One more bill, one more password

A separate HR tool is another subscription, another login for every employee and another set of permissions to keep in step with the CRM.

The CRM and HR, joined

The Check in that starts the day also decides who gets the next lead

This is what an HR tool bolted on beside a CRM cannot do. In Xale the attendance record and the lead routing are the same fact, so automations only hand new students to people who are actually at work, and check-in / check-out applies to the roles that work their own leads.

One button, two records

Check in at the top of the CRM and Xale records the attendance and, for the people who work their own leads, makes them available for new ones. Check out and both end together.

A break pauses the leads

Start a break and automated assignment passes the person over until they end it. The break is recorded on their attendance day, and average break time sits on the HR dashboard.

Skipped by every automated hand-out

People who are checked out or on a break are skipped by auto-distribute, shuffle, branch assignment, the telephony pool, track auto-assign and automation pools. A colleague can still hand them a lead by hand.

Leads wait, then are shared fairly

When a whole pool is out, a new lead waits in a queue instead of being dropped and is released as people check in. Each person's share of the waiting leads is capped by the size of the team, so with 60 waiting and 9 counsellors nobody takes more than 7 until others arrive.

Leads paused, with a Resume button

A long stretch without activity, a long break, the end of the working day or the longest allowed session pauses a person's leads, with the reason shown beside Resume. Idle time never shortens attendance.

Same people, same roles, same branches

HR uses the CRM's own users, roles, branches and departments. Every team member who logs in is already an employee, so there is nothing to sync and nobody to add twice.

Attendance management

Attendance that works itself out, shift by shift

One Check in / Check out button with breaks, and the rules your office already runs on, applied to every day automatically.

Shifts with grace

Named shifts with times for each weekday, grace minutes for check-in and check-out, effective-dated assignment and alternate week-offs such as the 2nd and 4th Saturday.

Late, early, overtime and “Not in yet”

Each day is worked out as it happens: late entry, early exit, overtime and “Not in yet” are flagged automatically, and a short day can count as a half day from the hours worked.

Holidays for the company or one branch

Set holidays for everyone or for a single branch, and copy last year's list forward in one step.

Register, month grid and work hours

A day-by-day register, a month grid of the whole team and every work session with its breaks. WFH and leave days are written into the register for you.

Forgotten check-outs handled

A session left open closes itself at the time you set, and the person is asked when they actually left. Until they answer, the day counts up to the shift end.

“Fix my attendance”

A missed check-in, a missed check-out, a wrong time or a day on duty away from the office: the employee asks, the approver decides and the register updates.

Admins correct, import and export

HR marks or corrects any day, imports attendance from CSV and exports the register, the sessions, leave and WFH as CSV.

Paid months stay closed

Once a month's payroll is locked, its attendance cannot be edited, so the salary you paid and the days behind it always agree.

Leave and WFH management

Leave, comp-off and WFH, with balances nobody has to count

Requests, balances and approvals in one place, so a leave never lives only in a chat message again.

Your own leave types

Casual, sick, earned, unpaid, comp-off or anything you name, each paid or unpaid, with half days, a yearly allowance and a carry-forward cap.

Balances with a full ledger

Every grant, use and adjustment is a line in the employee's leave ledger. The first year is pro-rated from the joining date, and opening balances import from CSV.

Year end without a spreadsheet

Carry-forward and lapse run at the year end, with a preview of what will carry and what will lapse before it happens.

Comp-off for extra days

HR or the reporting manager credits a comp-off day for work on a week-off or a holiday, checked against that day's attendance, and it is taken like any other leave.

The cost before you apply

The leave form shows what a request will take from each balance before it is sent, and a leave already running can be ended early.

WFH with rules

Work-from-home requests with optional approval, a monthly cap and a notice period. One day takes one request, so leave and WFH never double-book.

Who is off, privately

A who-is-off list for planning the week that tells colleagues someone is away without showing them the details.

One Approvals inbox

Leave, WFH and attendance fixes reach HR and the employee's reporting manager in one inbox. A request left waiting is reminded and, by default, goes to HR after 3 days.

Payroll and payslips

Payroll that starts from the attendance you already have

The month's attendance becomes draft payslips you check, lock and release, and employees print their own.

Salary structures

Earnings, deductions and employer contributions set for each employee.

Draft payslips from attendance

Each month starts as draft payslips, pro-rated for joining and exit dates, with loss-of-pay days suggested from attendance for you to confirm or change.

Lock, release and history

Lock the month, release the payslips, unlock if something must change, and keep every run in the payroll history.

Payslips employees print themselves

Employees open and print their own released payslips, so nobody has to email PDFs at month end.

Salaries visible only by permission

Salary amounts are shown only to people granted that permission, and every view of a salary is recorded.

CSV in and out

Import and export payroll as CSV for your accountant.

Dashboards, reports and automations

See the whole team’s day at a glance

HR gets its own dashboard, analytics and reports, beside the CRM’s reports and analytics, and its own automations so reminders and alerts go out without anyone chasing them. Every notice arrives in the Xale inbox.

HR dashboard

  • Total employees, present, absent, late, WFH and early exits today
  • Average work hours and average break time
  • Attendance trend, today's status and team distribution
  • Leave requests, who is off, recent activity and “My day”

HR analytics

  • Attendance, exceptions and work-hours trends
  • The people with the most late check-ins
  • Headcount by department and headcount movement
  • Leave taken by type

8 HR reports, each exported as CSV

  • Attendance register and attendance summary (payable days)
  • Leave ledger and WFH summary
  • Payroll cycle report
  • Headcount movement, employee list, and overtime and work hours

7 HR automations

  • Leave and WFH alerts to the manager and HR
  • Auto-close of forgotten check-outs
  • Repeated-late alert and auto-decline of stale WFH requests
  • Probation reminder, payslip-released notice and approval reminders

People and access

One person, one login, and HR access set by role

The employee directory is the CRM's own team, so a joiner is in HR the moment they get a login, and every HR screen follows the same roles and branches as the CRM.

One person, one login

Every team member who logs in to the CRM is an employee automatically. Staff who never use the CRM, such as drivers or office staff, are added by CSV import without a login.

A directory that runs itself

Departments, designation, employment type, branch, reporting manager, joining, probation and exit dates, and employee codes generated for you.

Joiners, probation and leavers

Confirm or extend probation, schedule an exit for a future date, rehire someone who returns and import a whole team from CSV.

Self-service for everyone

Employees check in, ask for leave, WFH and attendance fixes, see their balances and payslips, and keep their own personal details and emergency contact.

HR access by role

Self-service by default, admin and manager presets for day-to-day HR, and salary amounts, HR settings and automation edits granted to a role on purpose.

Branch by branch

HR views follow branches, so a branch manager runs their own team's attendance and approvals without seeing another office.

Set up in one switch

Ready on day one, with India-ready defaults

A workspace admin turns the HR Suite on in Settings → Suites. The first switch-on sets everything up, and every default can be changed afterwards.

What the first switch-on creates

  • A General shift, Monday to Saturday 09:30–18:30, with 15 minutes' grace
  • Casual 12, Sick 12 and Earned 15 days (carry forward up to 30), Unpaid, and a Comp-off type ready to switch on
  • The national holidays, ready to extend for each branch
  • The HR automations and self-service rights on every role
  • An employee record for every person who logs in to the CRM

Who it is for

HR software for small businesses and growing teams in India

The HR Suite is built for teams whose work is leads, from a five-person consultancy in Kozhikode to a multi-branch team across Kerala, Bengaluru and the Gulf.

Study abroad consultancies and education teams

Counsellors, telecallers, the visa desk and the front office check in once, and new enquiries go only to the people who are in.

Sales and telecalling teams

When the work is leads, attendance and lead routing belong together: a counsellor on leave never sits on a hot enquiry.

Multi-branch teams

Holidays per branch, branch-scoped HR views and one workspace for every office.

Small businesses in India

A 5-person office and a 50-person team get the same HR Suite, with nothing extra to buy and nothing to install.

Why Xale CRM

The CRM your team works in, with HR built in rather than bolted on

Xale CRM is the best study abroad CRM: parallel pipelines beside the main one, a follow-up for every role on every lead, deal and track, stage-level access, self-retrying automations that Xale AI drafts, a Custom Report Builder and an AI you can talk to.The HR Suite adds the part every team runs anyway: who is in today, who is on leave, and what each person is paid. Because it uses the CRM’s own people, roles and branches, a hot enquiry never waits with someone on leave, the first person in never inherits the whole overnight backlog, and the day’s attendance and the day’s leads are one record. It is part of why teams choose Xale as the best CRM in India for work that runs on leads, and it costs nothing extra on any plan.

  • Xale Private Limited, founded 2024
  • Office in Kozhikode, Kerala: visits welcome
  • In-person onboarding across Kerala, remote everywhere else
  • Priority support from the team that builds Xale, in English and Malayalam
  • Hourly database backups and workspace data isolation

Frequently asked questions

CRM with HR software: common questions

What is a CRM with HR software?

A CRM with HR software runs customer work and team administration in one system: the same people, logins, roles and branches handle leads, follow-ups and calls as well as attendance, leave and payroll. In Xale CRM the HR Suite is built in, so the check-in that records a person's attendance also decides whether they receive new leads, and there is no second user list to keep in step.

Is the HR software free with Xale CRM?

Yes. The Xale HR Suite is included with every Xale CRM plan at no extra cost. There is no HR add-on and no separate HR subscription: a workspace admin switches it on in Settings → Suites and it is ready the same day.

Does Xale have attendance and leave management?

Yes. Attendance runs from one Check in / Check out button with breaks, named shifts with grace and alternate week-offs, holidays per branch, automatic late-entry, early-exit, overtime and half-day detection, a register, a month grid and work-hours views, and “Fix my attendance” requests. Leave covers your own leave types, balances with a ledger, carry-forward with a year-end preview, comp-off, WFH rules and one Approvals inbox that reminds and escalates.

Can Xale run payroll and payslips?

Yes. The monthly payroll register holds salary structures with earnings, deductions and employer contributions, starts each month as draft payslips pro-rated for joining and exit dates, suggests loss-of-pay days from attendance for you to confirm, and is locked and released when you are ready. Employees open and print their own released payslips, and salary amounts are visible only to people granted that permission, with every view recorded.

How does attendance affect lead assignment in Xale?

With the HR Suite on, the same Check in button records attendance and makes the people who work their own leads available for new ones. Anyone checked out or on a break is skipped by auto-distribute, shuffle, branch assignment, the telephony pool, track auto-assign and automation pools. Leads that arrive while a whole pool is out wait in a queue and are shared out fairly as people check in, and a colleague can still hand anyone a lead by hand.

Can I add staff who do not use the CRM?

Yes. Everyone who logs in to the CRM is an employee automatically, and staff who never use the CRM, such as drivers or office staff, are imported from CSV without a login. HR can mark or correct their attendance and run them through leave and payroll like anyone else.

Who can see salaries and HR records?

Access follows roles. Every employee gets self-service for their own attendance, leave, payslips and personal details; admin and manager presets run day-to-day HR; and salary amounts, HR settings and automation edits are granted to a role on purpose. HR views follow branches, and every view of a salary is recorded.

Is Xale good HR software for a small business in India?

For a small business whose work runs on leads, yes. Xale gives a 5- to 50-person team attendance, leave, WFH, payroll and payslips inside the CRM it already uses, with India-ready defaults on day one (a Monday-to-Saturday shift, casual, sick and earned leave, the national holidays), one login per person and nothing extra to pay for HR.

One login for the leads and the people who work them.

Attendance, leave, WFH, payroll and payslips, included with every Xale CRM plan, and joined to the lead routing your team relies on.
