Batch capacity: why the seat count in a sheet drifts
Take a hypothetical NEET repeater centre in Kozhikode with 60 seats in its June batch. The sheet has a Status column, and a COUNTIF at the top counts rows reading "Seat reserved". At 5 pm on day four of results week it shows 54, so the front desk believes six seats are left. Here is what the rows actually hold:

Two seats are left, not six. That evening two telecallers each promise two seats to anxious parents, so four families believe they have a place and two of them will hear otherwise on Monday. Because a format change doesn't appear in a cell's edit history, nobody can say who marked the green rows.
Rules that keep a seat count honest:
- Status comes from a fixed list and is never typed.
- "Seat held" and "fee paid" are separate statuses, never one colour.
- A withdrawal is a status change the same day, with a reason.
- The waiting list is a status with a follow-up dated before the batch starts, so the first freed seat goes to a name, not a guess.
- The seat count is a list you can open and read name by name, not a number in a cell.
Parent follow-ups: two people, two callbacks, one cell
For JEE and NEET programmes the student usually enquires and a parent decides, often on an evening call. Take a hypothetical student, Aditya, 16, in Class 11, who fills an Instagram form about a two-year JEE programme. Rahul is the telecaller and Meera the counsellor.

Keep the parent as data, not a line in Remarks: name, relation, phone, who decides and who pays.
The law points the same way. The Digital Personal Data Protection Act, 2023 defines a child as an individual who has not completed eighteen years. Section 9(1) requires verifiable consent of the parent before processing a child's personal data, and Section 9(3) rules out tracking, behavioural monitoring and targeted advertising directed at children. A Class 11 aspirant is usually under eighteen, so record which parent consented, when and how, and aim results-week ads at parents. Decision rule. Two or more: move before your next results season, using the weekend plan below. One: fix it in the sheet now and book the weekend anyway, because results week turns one break point into three. None: run the test again the week after your next result date. Afterwards, keep one archived copy owned by the institute's account and delete personal copies. Section 8(7) of the DPDP Act expects personal data to be erased once its purpose is no longer served, unless another law requires you to keep it. Is Google Sheets enough for a small coaching centre?
Yes, while one or two people handle every enquiry from first call to fee, there is one centre and batches rarely fill. A shared sheet is quick to set up and everyone already knows it. The trouble starts when a telecaller and a counsellor share students, when parents need their own callbacks, or when seat counts matter in results week. Run the six break-point tests on last season's sheet before you decide.
Can Google Forms and Google Sheets work as a free enquiry CRM?
They can collect enquiries, because a form can write each response into a linked sheet. They don't give each student an owner and a due date per role, a reminder when a callback falls due, a call log, or a seat count that opens the list behind it. Notification rules email you about edits and form submissions, not about the follow-ups that are due today.
How long does it take to move a coaching institute from Google Sheets to a CRM?
One weekend is realistic if you import active students only. Freeze and download the sheet on Friday evening, clean phone numbers and split Remarks on Saturday, set up centres, roles and statuses, import this season's open enquiries on Sunday, and start Monday from each person's Today list. Older closed enquiries can come in later, once the team has settled.
Should a coaching institute switch before or after results season?
Before, with at least three weeks to spare. Results week is when a sheet does the most damage and when the team has the least time to learn anything new. Switching in the quiet weeks gives telecallers and counsellors a few ordinary days on the CRM, so on results day they work their Today lists instead of looking for buttons.
