A student document checklist for university applications: what to collect at each stage, what changes by destination, and which files should block a move.
This student document checklist tells your consultancy what to collect from a student at each stage, from counselling to the visa file, and what changes for the UK, Canada, Australia, the US and Germany. It is written for counsellors, application officers and consultancy owners in India who are tired of asking a student for the same passport scan three times. Copy the template, then mark every line as blocking (the file cannot move without it) or info-only (a reminder that never holds anyone up).

Blocking or info-only: the rule for every line
Checklists fail in two ways. Either every item is mandatory, so counsellors tick boxes just to get past the gate, or nothing is enforced, so the file reaches the visa stage without a bank statement. Sort each document with three questions.

One signal worth watching: if counsellors ask to skip the same blocking item every week, it belongs in the info-only column.
The student document checklist, stage by stage

"Blocks entry" means documents are chased one stage early, not one stage late. And nothing in the Visa rows belongs at counselling: bank statements and medical certificates go stale, as the clocks section shows.
What changes by destination
The Qualify and Application rows barely change by country. The confirmation document and the visa file do. Official lists, checked September 2026:

Three details trip up Indian files this year:
- Canada's PAL exemption is narrow. IRCC exempts degree-granting master's and doctoral programmes at a public institution starting 1 January 2026, not postgraduate diplomas. Since 22 January 2025, a student changing schools needs a new PAL or TAL before applying.
- Germany's APS has a new dMAT step. APS India applies it to selected master's applicants whose previous degree is in engineering, commerce, accounting, finance, economics, business or management, from the Summer Semester 2027 intake. Documents can go in first, but the APS certificate is issued only after the dMAT certificate is checked.
- The US fee follows the I-20. The SEVIS fee is paid with details from the Form I-20, and proof of payment is shown at the visa interview. Collect the I-20 first, the receipt second.
Clocks: documents that go stale
A checklist that only asks "is the file there?" misses the document that was valid last month. Record the date that starts each clock when the file comes in.

Worked example: ordering a UK visa file
Take a hypothetical student, Nikhil, starting a UK master's on 20 September 2027. The earliest he can apply from India is 20 March 2027. His CAS arrives on 1 June and he plans to apply on 5 July.
- Funds: his 28-day run must end within 31 days of 5 July. A run ending on 20 May is too old; one ending in mid-June works. The statement is requested in mid-June, not at counselling.
- TB certificate: an x-ray on 10 June gives a certificate valid until 10 December, covering a 5 July application.
- CAS: received on 1 June, so its 6-month window is not the binding clock. The funds period is.

One document set, three applications
Staying with Nikhil: he applies to two UK universities for an MSc in Finance and to a postgraduate diploma at a Canadian college, which is not a master's degree, so the PAL exemption does not help him.

The shared set is collected once and serves every application. When Nikhil pays the deposit to University B, only that application moves to Visa; the Canadian application keeps its own stage, and Nikhil still counts as one student. The rule: student-level documents block the student's entry to Application. Application-level documents block only that application.
India-specific preparation before anything is uploaded
- Match names. Check the spelling of the student's and parents' names across passport, marksheets and test reports. For UK applicants under 18, GOV.UK asks for a birth certificate or government document showing the parents' names.
- Attest only on request. The Ministry of External Affairs authenticates educational documents such as degrees and diplomas: an apostille for Hague Convention member countries, normal attestation for others, through designated outsourced agencies. Plan the time only when a university or embassy asks.
- Start APS early for Germany. APS India verifies academic documents from Indian institutions, and its certificate is generally required for the German student visa.
- Get loan and sponsor letters in writing. IRCC accepts proof of an education loan from a bank; GOV.UK wants a sponsor's written consent where fees and living costs were sponsored.
- Fix one file name per document type. "Passport", "Class 12 marksheet", "IELTS report", with a university name only on university-specific files, so everyone and every checklist finds the same file.

Most universities ask for a passport, Class 10 and Class 12 marksheets, degree marksheets and certificates for postgraduate courses, an English test score report, a statement of purpose, recommendation letters and a CV. Do Indian documents need an apostille for studying abroad?
Only when the university or visa office asks for it. The Ministry of External Affairs authenticates educational documents such as degrees and diplomas, using an apostille for member countries of the Hague Apostille Convention and normal attestation for other countries. Documents go through agencies the ministry has designated rather than to the ministry directly, so allow time for it.
