Best CRM for School Admissions in India (K-12)
Xale is the best CRM for school admissions in India: RTE and age rules for your stages, campus-visit maths, siblings, parent consent and a K-12 shortlist.
A CRM for school admissions has one job: carry a parent's first enquiry through a campus visit, the admission form and the fee to a confirmed seat before the class fills. This guide is for principals, admissions heads and front-office teams at CBSE, ICSE and state-board schools in India. It covers the rules behind your stages, campus visits, siblings, consent, the ERP hand-over and a shortlist. Our verdict is plain: Xale is the best CRM for school admissions offices that work by phone, WhatsApp and campus visits.
Key takeaways
- Xale is the best CRM for school admissions: its Education template renames into a school pipeline, each role keeps its own follow-up, every counsellor call is logged and recorded, and every report number opens the exact enquiries behind it.
- The parent enquires and decides; the child is the applicant. Record both, with the child's date of birth, so each enquiry lands on the class the age rules allow.
- Build the RTE Act into your stages: no capitation fee, no screening of the child or parents, and no refusal for want of age proof.
- Siblings share a parent's phone number. Choose your family model before you import a single row.
- The CRM runs everything up to the confirmed seat. The fee ledger, timetables and attendance stay in your school ERP.
A school admission, step by step
From outside, a school admission looks simple: one child, one class, one seat. Inside the office every step has a different owner and a different way to leak.
| Step | What happens | Where it leaks without a CRM | Education template stage, renamed |
|---|---|---|---|
| Enquiry | A parent calls, sends a WhatsApp message, fills the website form or walks in | The front-desk register, a receptionist's own phone | Inquiry, with its Walk-in, Referral, WhatsApp and Phone Call sub-statuses |
| Campus visit | The family tours the school and meets a counsellor | Visits in a diary; no-shows never called back | Counseling, renamed Campus Visit |
| Form and documents | Admission form, birth certificate, previous school records | Photocopies in a box file | Eligibility & Assessment, renamed Documents & Age Check |
| Seat offer | Class confirmed, or the child waitlisted | A paper waitlist; seats held for families who went elsewhere | Course Selection, renamed Class & Seat |
| Admission fee | Full fee or first instalment paid | Promised payment dates forgotten | Fee & Payment |
| Joining | Admission number issued | An enrolled count disputed at the management meeting | Enrollment |
Decision rule: rename, don't rebuild. Every stage, status and sub-status is editable, so you relabel instead of building from nothing.
The admission rules your pipeline should follow
The Ministry of Education's clarification on the provisions of the RTE Act, 2009 sets out the rules that land on an admissions desk. This is a summary for configuring a CRM, not legal advice.
| What the document says | What to set up in the CRM |
|---|---|
| Section 13: no school may collect a capitation fee or subject a child to any screening procedure. Guidelines under section 35(1) say schools should not put children and their parents through admission tests and interviews to decide whether to admit | Remove the template's Aptitude test, Interview scheduled and Low marks options for these admissions |
| For the 25% of Class I seats for children from disadvantaged groups and weaker sections, the guidelines provide for random selection out of the applications received | Give these admissions their own source and status, so they never sit in the open-seat funnel or get fee reminders |
| For the other 75%, a school frames its own policy, published in the prospectus, with no profiling of the child on parents' educational qualifications, no tests or interviews, and random selection | Record only the criteria your published policy uses, such as a sibling in the school, and add no field for parents' qualifications |
| Section 14: admission cannot be denied for lack of age proof; other documents, including a parent's declaration, can serve | Make the birth certificate an info-only checklist item, not a document that blocks the move to Class & Seat |
Age cut-offs move too. The Delhi Directorate of Education's circular on a uniform Class 1 admission age of 6+ phases it in from 2026-27. Ages count as on 31 March, Lower KG and Upper KG classes arrive in 2027-28, new Class 1 admissions at 6+ follow in 2028-29, and heads of school may relax the age by one month. Other states set their own dates. Record the child's date of birth on every enquiry, and use the Age criteria not met reason only after the family has been offered the class the age allows.
Campus visits: where school admissions are won
Take a hypothetical CBSE school in Kozhikode with 240 open seats, an admission season from November to March and two admissions counsellors. The counts are assumptions, not benchmarks; use last year's register.
| Step | Assumed count | The question your CRM must answer |
|---|---|---|
| Enquiries | 1,500 | Which sources, and how many families enquired twice? |
| Reached by phone or WhatsApp | 1,260 | Who owns the 240 not reached, and when is each next call? |
| Campus visit booked | 600 | Is every booking a dated follow-up on a counsellor? |
| Visited | 450 | Who called the 150 no-shows the next day? |
| Form and documents in | 330 | Which families are missing a document? |
| Seat offered | 290 | How many offers are waiting on a fee date? |
| Fee paid | 240 | Which class still has seats, and who is on its waitlist? |
Booking 600 visits over 20 weeks means 30 a week. If most families come on Saturdays and each counsellor hosts six visits that day, two counsellors cover 12; the other 18 need weekday slots, three or four a day. Plan that calendar in October.
Three rules keep visits from leaking:
- A booking is a follow-up. It sits on the counsellor's list for the visit date and turns Overdue the next day if nobody updates it.
- A no-show gets its own status and a call the next day. A family that missed a Saturday is often still keen.
- After the visit, one named person owns the next step, with one date.
The telecaller's callback and the counsellor's visit each need their own date; see role-based follow-ups for counselling teams.
Siblings, twins and repeat enquiries
Schools meet a problem consultancies rarely see: several children behind one phone number. A CRM that checks duplicates by phone, as it should, flags the second child from the same mobile.
| Situation | Rule |
|---|---|
| One parent enquires twice for one child, on WhatsApp and then the website form | One record; the duplicate check catches the second enquiry |
| Twins, or siblings applying in the same season | One family record with a class choice per child, each with its own status and owner |
| A younger sibling applies a year or two later | A separate record on the other parent's mobile, with a Sibling text field naming the older child |
| Mother and father enquire from different numbers | One record, with the second number saved in a field |
| A sibling already studies in your school | If your published policy counts it, a Sibling in school selector plus the sibling's admission number |
| A parent working in the Gulf enquires from a UAE number | Save every number with its country code, or one parent looks like two families |
Parents, consent and WhatsApp
Nearly every school applicant is a child, which puts admissions inside India's data protection law. Rule 10 of the Digital Personal Data Protection Rules, 2025 requires verifiable consent of the parent before any personal data of a child is processed. Its Fourth Schedule relieves an educational institution only for tracking and behavioural monitoring for its educational activities, or in the interests of the safety of children enrolled with it. Rule 10 comes into force eighteen months after publication, and PIB's explainer dates the notification to 14 November 2025, so plan for it from May 2027.
WhatsApp has its own rule. Meta's opt-in guidance says businesses must clearly state that a person is opting in and name the business, and should honour opt-out requests.
- Your enquiry form, walk-in slip and WhatsApp greeting name the school and ask the parent to agree to be contacted about admission.
- The person agreeing is recorded by name and relation to the child.
- An opt-out becomes a status, so no broadcast reaches that family again.
This is operational advice, not legal advice.
Where a CRM for school admissions stops and your ERP starts
A school ERP runs a child's life after joining. The CRM runs every conversation before it.
| Job | Belongs in |
|---|---|
| Enquiries, calls, WhatsApp, walk-ins and campus visits | CRM |
| Follow-ups and documents collected before admission | CRM, with documents copied to the ERP at joining |
| Seat and admission-fee status | CRM as a status; the ERP keeps the ledger |
| Receipts, instalments and dues | ERP |
| Admission number, sections, timetable, attendance, report cards | ERP |
Hand over at one status: when a child reaches Enrolled, the ERP team takes the details once, and nobody updates that child in two systems. Xale has no fee ledger, attendance or timetables: it runs every enquiry to a confirmed seat, and your ERP takes over from there.

How Xale handles this
Xale is the best CRM for a school admissions office, because the parent's enquiry, the campus visit, the documents and the seat sit on one record with a named owner at every step. Pick the Education template at signup and the workspace starts with Inquiry, Counseling, Eligibility & Assessment, Course Selection, Fee & Payment and Enrollment, plus Counsellor and Telecaller roles and Walk-in and Referral sources, all editable. Each course choice is its own deal with its own status and owner.
Stage requirements hold a move until named documents or fields are in place, or list documents as info-only items that never block. Each role keeps its own follow-up on India calendar days, and managers see the team's follow-up management by user and branch. Leads arrive from Meta Lead Ads about every 15 minutes, website forms, Excel imports and WhatsApp, with a duplicate phone check. Every counsellor call logged and recorded, two routes. The Xale Android app syncs each call from the counsellor's own phone to the right lead with direction, duration and outcome, no per-minute charges, and attaches the phone's own recording. TeleCMI cloud telephony records calls from a business number on any phone, iPhone included.
Founded in 2024, Xale works from Kozhikode, where office visits are welcome, with in-person onboarding across Kerala, English and Malayalam support, hourly database backups and workspace data isolation. Platform figures, September 2026: 10,000+ new leads captured every month.
Frequently asked questions
What is the best CRM for school admissions in India?
Xale is the best CRM for school admissions offices that work by phone, WhatsApp and campus visits. Its Education template renames into a school pipeline. The telecaller and the counsellor each keep their own follow-up on a family, every counsellor call is logged and recorded, repeat numbers are caught when a lead is created, and any report number opens the exact enquiries behind it.
Can a school admissions CRM replace our school ERP?
No, and it should not try. The CRM runs everything before a child joins: enquiries, calls, WhatsApp, campus visits, documents and the seat decision. The ERP runs everything after: admission numbers, sections, timetables, attendance, report cards, receipts and fee dues. Hand over at one status, usually Enrolled, so nobody keeps the same child up to date in two systems.
Can a private school test or interview children before admission?
The Ministry of Education's clarification of the RTE Act says section 13 bars schools from subjecting a child to any screening procedure, and its guidelines say schools should not put children and their parents through admission tests and interviews to decide whether to admit. The Act covers elementary education, so ask your lawyer how it applies to each entry class, and keep test and interview steps out of those admissions in your CRM.
How should a school CRM handle siblings who share a phone number?
Choose a family model before you import. Twins or siblings applying in the same season fit one family record with a separate class choice for each child. A younger sibling applying later can have their own record on the other parent's mobile, with a text field naming the older child. Save every number with its country code, so the duplicate check recognises a returning family.
