A branch manager weekly review template for counselling teams: a 30-minute agenda, six numbers, the lists to open and what to do when a number is disputed.
A branch manager weekly review is the half hour in which a branch decides what happens to its students this week: which enquiries still need a first call, whose follow-ups have slipped, which files are stuck and which offers are close to lapsing. This template gives you a minute-by-minute agenda, the six numbers to bring, the list to open behind each one, the questions to ask each counsellor and a rule for the moment someone says "that number is wrong". It is written for branch managers and admissions heads at study abroad consultancies in India.

What the weekly review is for, and what it is not
The weekly review answers one question: which students need something from us this week, and who will do it? It is not a monthly performance review with fewer slides.

Conversion rates move too slowly to read weekly, so leave them to the monthly meeting and the counsellor KPIs worth tracking. Three ground rules:
- Same slot, same window. For example, Monday 9:30 to 10:00, reviewing Monday 00:00 to Sunday 23:59 of the week just gone, in IST.
- Same view. Save the filters once and open that view every week.
- Actions, not commentary. A number that doesn't lead to a named student and a date leaves the agenda.

Two definitions trip teams up. Number 4 leaves out the first stage on purpose: students are created into Inquiry, so "entered Inquiry last week" is just number 1 again. And number 6 counts students, not applications, because a student with three offers still pays one deposit.
Set a stall threshold per stage
One threshold for every stage either floods you with visa files that are waiting normally or hides a qualified student nobody has called for a fortnight. These are our suggested starting points:

The longest slot goes to stuck students and open offers, the only place a student can be lost this week. Enquiries get four minutes because the untouched list does the work.
Ten minutes of preparation
- Open the branch's saved view; confirm the branch picker and date window, and clear leftover filters.
- Take the overdue snapshot at 9:15, before anyone starts re-dating.
- Write this week's six numbers next to last week's.
- Mark the intake in focus, such as January 2027 for the UK, so numbers 5 and 6 are read against it.

Drill-downs: open the list, then read three records
A number tells you where to look; the list tells you what happened. Open each list and read three records: the oldest, the newest and one from the middle. Three shows a pattern and still fits the agenda.

Look ahead on UK visa money
Deposit-stage students need attention earlier than most teams expect. Take a hypothetical student, Aleena, who has paid a deposit for a UK course starting on 25 January 2027.
- GOV.UK says the earliest a student outside the UK can apply is 6 months before the course starts, and decisions usually take 3 weeks. For a decision by about 4 January, she applies by about 14 December. Treat 3 weeks as a planning assumption.
- The money must be held for at least 28 days in a row, ending within 31 days of the application. For a 14 December application, the funds need to be in the account from about 16 November.
So Aleena's funds conversation belongs in the first review of November. For Canada, check a stalled file against its attestation letter: IRCC says you can't apply with a PAL or TAL that has expired or is no longer valid.
Questions to ask each counsellor
The counsellor round is four minutes for the whole branch, so each person gets one question about a named student on their own list.

Write each commitment on the action sheet in the counsellor's own words, and read it back to them next Monday.
When a number is disputed, open the list
Sooner or later a counsellor says "I don't have 21 overdue, I have 9." Nobody wins that argument from memory, so use this rule:
- Open the list behind the number on the shared screen.
- Check three settings: the date clock (created, entered stage or due), the scope (whose view, which branch) and the grain (students or applications).
- Give it two minutes. If it isn't settled, write down both definitions and who will reconcile them before Wednesday, then carry on.
- Record the agreed definition so the dispute doesn't return next week.

- Neha, 21 overdue: disputed. The list showed 12 follow-ups on students rejected by universities a fortnight ago but never marked rejected. Her real overdue is 9.
- Meera, 7 forward moves: one of the three checked sat in Application without an SOP.
- Rahul, 4 open offers: two January UK students at Deposit with no funds conversation logged, which the GOV.UK arithmetic above says is urgent.
- Sreelakshmi, all fine: asked which student worries her, she named a UK visa file submitted 26 days ago.

How long should a branch manager weekly review take?
Thirty minutes, plus ten minutes of preparation. Spend three minutes on last week's actions, work through the six numbers, ask each counsellor one question and finish by writing no more than five actions. If the review keeps running over, the usual cause is arguing about numbers instead of opening the lists behind them, or covering monthly conversion rates in a weekly meeting.
Which numbers should a branch manager check every week?
Six: new enquiries by source, enquiries nobody has contacted, overdue follow-ups by counsellor, students who moved forward a stage, students stalled past their stage's threshold, and students holding an offer without a deposit. Each leads to a decision you can make the same week. Conversion rates and leaderboards change too slowly to act on weekly, so keep them for the monthly review.
Should counsellors see each other's numbers in the review?
Work lists such as untouched enquiries, overdue follow-ups and stalled students are fine to review together, because the branch shares the job of clearing them and reassigning work needs everyone present. Keep coaching on conversion rates and call quality for one-to-one conversations, and ask each counsellor about a named student on their own list rather than ranking people in front of the team.
