A third way, "University 1" and "University 2" fields on the contact, leaves nowhere for the third application.

HubSpot's custom objects guide lists the feature on Enterprise subscriptions and notes that "depending on your subscription, there are limits on the number of custom objects and properties you may have." Its pipelines guide says an Enterprise subscription is required to manage custom object pipelines.

Rules move, and the build moves with them

IRCC's page on the provincial or territorial attestation letter (PAL/TAL), usually required for a study permit, lists master's and doctoral programmes at a public designated learning institution, starting 1 January 2026, among the cases that do not need one. In a system you built, somebody updates the property, the stage rule and the checklist. In Xale, your admin edits the stage requirement.

Calls from India: check this before you plan HubSpot calling

HubSpot's supported countries page says: "Due to local regulations, Twilio no longer supports local outbound calls in India as of Aug. 1, 2024." It adds: "Registered +91 numbers that attempt to call a +91 number will receive an error message and the call won't complete." India is not among the countries where HubSpot-provided numbers are available.

Two other routes are documented. In the HubSpot mobile app, "You can't record calls when calling from your mobile phone carrier", though Android users can turn on logging for calls made outside the app. A calling app from the App Marketplace can also be integrated, and "if your calling app supports it, your call notes, details, and recordings will show on the HubSpot record."

HubSpot's WhatsApp channel guide lists the channel on Marketing Hub and Service Hub Professional and Enterprise, and sets these conditions:

  • The number "must not be connected to another WhatsApp account, WhatsApp for Business App, or another WhatsApp integration"; the guide links to Coexistence for using one number in both.
  • A verified Meta Business Manager is needed "to have access to more than 50 business-initiated conversations per day."
  • "Historical conversations will not be synced."
  • "A limit of 1,000 template messages per month is shared by all your connected WhatsApp business accounts."

Do the arithmetic for your own volume. Assume 350 new enquiries a month and three template messages to each in its first fortnight: a welcome, a document request and a counselling-slot reminder. Worked example: what a two-branch consultancy would build

Take a hypothetical consultancy with branches in Thrissur and Kochi: an owner, two branch managers, five counsellors, a telecaller and a visa officer. It gets about 350 enquiries a month from Meta ads, mostly for Canada and the UK, and most students apply to two or three universities. Its HubSpot build list:

  • Ten logins, and a decision on who needs a Sales or Service seat to call.
  • A record model: a custom Application object on Enterprise, or deals in a custom pipeline.
