CRM software Saudi Arabia · A buyer’s page
Best CRM software in Saudi Arabia for businesses that sell by enquiry: Riyadh, Jeddah and Dammam
Our verdict
Xale CRM is the best CRM software in Saudi Arabia for businesses that sell by enquiry: every role on a lead and on each deal keeps its own follow-up, access is set stage by stage and follows the branch so Riyadh, Jeddah and Dammam each see their own enquiries, automations run in the background with retries and a log of every run and Xale AI drafts them from plain words, the Custom Report Builder answers your own questions from your own data, every call from an agent's own phone is logged and recorded, and WhatsApp runs through Meta's Cloud API or your Wati, Gallabox or UrbanChat account.
This page is for the business in the Kingdom that lives on enquiries: the study abroad or education consultancy, the training institute or academy, the recruitment agency, the travel desk, the production studio, whether it works from one office in Riyadh or from branches in Jeddah and Dammam as well. It sets out what such a team needs from CRM software in Saudi Arabia, puts Xale CRM beside ten other CRM software companies in Saudi Arabia from their own pages, and answers the questions a Saudi buyer asks about WhatsApp, calls, branches and personal data.

Who this is for
CRM software in Riyadh, Jeddah and Dammam: who this page is for
Saudi Arabia is a large, young and mobile-first market. The Saudi Press Agency reported the 2022 census result as a total population of 32.2 million, of which 18.8 million are Saudis, and the General Authority for Statistics’ Population Estimates Publication 2024 puts the mid-2024 total at 35.3 million, growing 4.7 per cent in a year, with non-Saudis at 44.4 per cent. The Communications, Space and Technology Commission’s Saudi Internet Report 2024, released on 12 May 2025, puts internet penetration at 99 per cent, mobile phones at 99.4 per cent of browsing, average mobile data at 48 GB per person per month, and 21.5 per cent of internet users already using AI tools.
For a business that sells by enquiry, those figures describe the customer: on a phone, on WhatsApp, in one of three metropolitan markets. Riyadh is where head offices and government-facing firms sit; Jeddah serves the western region, Makkah and Madinah included; Dammam, with Al Khobar and Dhahran, serves the Eastern Province. A consultancy, institute or agency that grows past one city opens a branch in the next, and the CRM has to keep the three apart while the owner sees all of them on one dashboard.
The expatriate side matters too. India’s Ministry of External Affairs counts 2,750,551 overseas Indians in Saudi Arabia as of January 2026, the second-largest Indian community in the Gulf, and a large share of the enquiries a study abroad consultancy, a school admissions desk or a travel agency in the Kingdom handles comes from those families. Xale CRM is built in Kozhikode, Kerala, at the home end of that corridor, which is why its support runs in English and Malayalam. If your business is a study abroad or education consultancy, the CRM for education consultants in Saudi Arabia page covers scholarship files, DASA and school certificates in detail; this page is about CRM software for every enquiry-led business in the Kingdom. Teams across the region will find the best CRM software in the GCC hub, with a section per country.
Method
How this page was put together
Xale CRM is our product; competitor facts come from each vendor’s own pages, checked 16 October 2026.
- Vendors in their own words. Every claim about another product comes from that vendor’s own website, read on 16 October 2026 and linked beside its paragraph and under the table. No review-site scores. Where a page is silent, the cell says so.
- Saudi facts from official pages. Population, internet use and the diaspora figures come from the Saudi Press Agency, GASTAT, CST and India’s Ministry of External Affairs, each linked where it is used; the personal-data section quotes SDAIA’s own Data Protection page.
- Xale CRM as it ships today. Every Xale CRM feature on this page is live in workspaces now, and the figures under “Why Xale CRM” carry their date.
- Starting prices, sourced. Each competitor’s cell is its lowest listed plan from its own pricing page, checked 7–8 October 2026; “On request” where no figure is published. Xale’s cell is read from the same source as our pricing page.
What Saudi teams need
What a CRM system in Saudi Arabia has to get right
A CRM written for an inside-sales floor assumes email, a desk phone and one owner per record. A Saudi enquiry arrives on WhatsApp, is called back from somebody’s own mobile, is worked by two or three people across a branch or two, and is reported on by an owner who wants one number per city. Xale CRM is built around that day, which is why it is also the lead management software we recommend for teams that sell by enquiry.
WhatsApp first, on the number you already use
A Saudi enquiry answers a WhatsApp message before it answers a call, and CST's 2024 report puts 99.4 per cent of browsing on mobile phones. Chats land on the lead in one role-scoped inbox, through Meta's Cloud API, with Coexistence so the WhatsApp Business app keeps working on the same number, or through the Wati, Gallabox or UrbanChat account you already pay for.
Branches in Riyadh, Jeddah and Dammam, each seeing its own
A lead belongs to one branch, visibility follows the branch, Auto-distribute hands a branch's new leads to its users least-loaded first, and every report and dashboard widget can be cut by branch, so a head office in Riyadh compares Jeddah with Dammam on the same measures without either branch seeing the other's enquiries.
A follow-up for every role, not one date per lead
The person who took the call, the person who counsels and the person who closes each keep their own follow-up on the same lead and on each deal, so nobody's date overwrites anybody else's. Overdue, Today and Later follow calendar days, and a manager sees the team's lists by user, branch and role.
Meta lead ads with the campaign attached
Facebook and Instagram lead forms sync automatically with campaign, ad set and ad attribution, and daily ad spend turns into a cost per lead. When a lead arrives, an automation assigns it, sets the counsellor's follow-up and sends a first email template, or a WhatsApp template from a Wati, Gallabox or UrbanChat account.
Calls from the agent's own phone, no call centre needed
Sales staff in the Kingdom call from their own mobiles, and a CRM that needs a call-centre line never sees those calls. The Xale Android app syncs each one to the right lead with direction, duration and outcome, no per-minute charges, and attaches the phone's own recording; TeleCMI adds a business number on any phone, iPhone included.
Reports a director can trust, by branch
8+ ready-made report tabs and 20+ built-in dashboard cards, every number opening the exact leads behind it, figures that follow the viewer's role, and the Custom Report Builder for the questions nobody wrote a report for, with exports to CSV or XLSX.
Automations you can leave running overnight
An event automation is queued only after the change that triggered it is saved, runs with up to 3 attempts, and is logged as successful, failed or skipped with a plain-English summary. Every hour, runs that failed in the last 24 hours are re-run, and a rule can be limited to business hours or set as an after-hours reply.
Several timelines on one customer
Beside the main pipeline a workspace runs as many parallel pipelines (tracks) as the work really has, each with its own steps, person, per-role access and follow-up, so a visa filing, a loan or an interview preparation runs beside the sale without a second record.
Vendor by vendor
CRM software companies in Saudi Arabia, vendor by vendor
Xale CRM is the best CRM software in Saudi Arabia for businesses that run on enquiries, and leads this list. Top 10, 2026
Top 10 CRM software in Saudi Arabia (2026)
For a team of two to a hundred in Riyadh, Jeddah or Dammam the decisive questions are not feature counts but WhatsApp on your own number, calls from your staff's own phones, whether a second branch can be kept apart from the first, and what the vendor says about the Kingdom on its own site. Xale CRM leads this table of the top CRM software in Saudi Arabia for the reasons on this page; each other row is the vendor's own wording, with its starting price from its own pricing page.

WhatsApp CRM in Saudi Arabia
With 99.4 per cent of browsing on mobile phones, WhatsApp is where a Saudi enquiry starts and where most of it is answered. The problem with running it on a counsellor’s own phone is that the chat leaves with the counsellor. Xale CRM gives a Saudi team two routes to the same inbox. The first is Meta’s Cloud API, including Coexistence, which lets the WhatsApp Business app keep working on the number your customers already know while the CRM uses it too; template broadcasts run on Cloud API connections to opted-in leads chosen with the lead-list filters, with sent, delivered, read, replied and failed counts. The second is the Wati, Gallabox or UrbanChat account you already pay for, connected as it is.
Cloud API, Wati and UrbanChat chats are answered from one role-scoped inbox, so a Jeddah counsellor sees Jeddah’s conversations and a manager sees the branch. Wati, Gallabox and UrbanChat accounts also turn new enquiries into leads and send approved templates from automations, and a rule can send a template only inside business hours or as an after-hours reply, so a customer who messages at eleven at night gets an answer and the counsellor gets a follow-up dated for the morning. Xale never bills WhatsApp messages: Meta or your provider does. The WhatsApp CRM page compares the routes in detail, and the Top 10 table above shows what each other vendor says about WhatsApp on its own pages.
Personal data
Data and privacy under the Saudi PDPL: what to ask any CRM vendor
A CRM holds names, phone numbers, WhatsApp threads, call recordings and notes about people in the Kingdom, so the Personal Data Protection Law is part of choosing one. The Saudi Data and Artificial Intelligence Authority’s Data Protection page says the Law “applies to any processing of personal data involving individuals within the Kingdom and conducted by any means”, sets out the data subject’s rights, and publishes, on its Laws and Regulations page, the Law, its implementing regulation, the Regulation on Personal Data Transfer Outside the Kingdom and the rules for appointing a Personal Data Protection Officer. Your business is the controller; the CRM vendor processes on your behalf. These are the questions to put to any vendor, Xale included, with the line from SDAIA’s page that each one rests on. Read the regulator’s pages yourself and take your own legal advice; this section quotes them, it does not interpret them.
Where is our customers' personal data stored, and who at the vendor can reach it?
SDAIA says the Law applies to any processing of personal data involving individuals within the Kingdom, by any means, and that the controller must implement organisational, administrative and technological measures to protect it, including during transfer.
How do we answer a customer who asks what you hold, wants it corrected, or wants it destroyed?
SDAIA lists the right to be informed, the right to access a copy in a clear and readable format, the right to request correction, completion or updating, and the right to request destruction of data no longer needed.
What happens when a customer withdraws consent?
SDAIA lists the right to withdraw consent to processing at any time, except in cases the Law and its implementing regulations stipulate.
If data leaks, how fast will we know, and what will you give us?
SDAIA's page carries a Personal Data Breach Notification service on the National Data Governance Platform; your own notification depends on the vendor telling you first.
Which country's servers hold the data, and under what terms does it leave the Kingdom?
SDAIA publishes a Regulation on Personal Data Transfer Outside the Kingdom and a risk assessment guideline for such transfers.
Who inside our own company can see, export or delete a record?
The controller is your business; SDAIA's rules for appointing a Personal Data Protection Officer and its minimum personal data guideline are addressed to you, so the CRM must let you scope access by role.
How Xale answers them, as facts about the product: each workspace’s data is isolated from every other in the data-access layer; the database is backed up every hour to off-site storage; integration secrets are encrypted; uploads go through links that expire after five minutes; access is enforced on the server by role and by pipeline stage, so a record is seen, edited or deleted only by the roles you allow; exporting leads is a per-role permission, and staff other than admins never get phone or WhatsApp numbers in an export; a workspace setting masks phone numbers on lists for everyone except admins; archiving, bulk moves to Trash and workspace-wide settings are admin-only; and assignments are revoked, never deleted, so the ownership history of every record is kept. The platform page sets out the reliability facts behind each line.
Why Xale CRM
Why Xale CRM is the best CRM software in Saudi Arabia for enquiry-led teams
Xale CRM is the best CRM software in Saudi Arabia for businesses that sell by enquiry, and these are the reasons, in the order that matters to such a team. Each one is live in every workspace today, and each links to the page that shows it in detail.
1
A follow-up for every role, on the lead and on each deal
A telecaller in Riyadh, a counsellor in Jeddah and an account manager at head office can work one enquiry at once, and each role on the lead and on every deal keeps its own follow-up, one per role enforced by the database, with its own reminder by web popup, Android push and the in-app inbox. Overdue, Today and Later show what is due, managers see the team's follow-ups by user, branch and role, and every stage carries Due in N days and Maximum days allowed dials.
More on follow-up management→2
Access set stage by stage, and by branch
Roles start from 4 role templates and set a 5-level lead-access dial on every pipeline stage (Admin, Manage, Edit, View or Deny), enforced on the server in every lead list, board, dashboard and report. Each lead belongs to one branch, visibility follows the branch, territory access lets a country manager see their countries without being assigned each lead, and exports are a per-role permission that never include phone or WhatsApp numbers for staff other than admins.
More on multi-branch CRM→3
Automations built to be relied on, drafted by Xale AI
26 automation actions, including Auto-distribute, Set / update follow-up, Move deal and Send API request. Each run is queued only after the triggering change is saved, runs in the background with automatic retries and is logged with a plain-English summary of every action; a failed run is retried in one click. Describe a rule in plain words and Xale AI drafts it in the builder for you to preview and save.
More on CRM automation→4
The Custom Report Builder for your own questions
Build lead reports from the Leads page filters and measure calls, connected calls, talk time, follow-ups, activities, deal value, amount paid and amount pending for any group of leads; group rows and two levels of columns by day, week, month, quarter or year; measure counts, sums, averages, percentages and ratios; show any of 17 views (table, heatmap, bar, line, funnel, KPI tiles and more). Every cell opens the rows behind it, and every figure follows the viewer's access, so a Dammam manager and a Riyadh director read the same report at their own level.
More on Custom Report Builder→5
Every call logged and recorded, two routes
The Xale Android app syncs each call from the agent's own phone to the right lead with direction, duration and outcome, no per-minute charges, and attaches the phone's own recording. TeleCMI cloud telephony records calls from a business number on any phone, iPhone included. Recordings transcribe on demand, capture stays off until an admin allows it for a role, and a Call Analytics report shows who is actually reaching customers.
More on CRM with call recording→6
WhatsApp your way
Meta's Cloud API, including Coexistence with the WhatsApp Business app, or your existing Wati, Gallabox or UrbanChat account, answered from one role-scoped inbox. Xale never bills WhatsApp messages: Meta or your provider does.

Frequently asked questions
CRM software in Saudi Arabia: common questions
Which is the best CRM software in Saudi Arabia?
Xale CRM is the best CRM software in Saudi Arabia for businesses that sell by enquiry. Every role on a lead and on each deal keeps its own follow-up, one per role enforced by the database, with reminders by web popup, Android push and the in-app inbox. Access is set with a 5-level dial on every pipeline stage and follows the branch, so Riyadh, Jeddah and Dammam each see their own enquiries, enforced on the server in every list, board, dashboard and report. Automations run in the background with automatic retries and a log of every run, and Xale AI drafts a rule from a plain-words description for you to preview and save. The Custom Report Builder answers your own questions and opens the rows behind every cell, every call from an agent's own phone is logged and recorded, and WhatsApp runs through Meta's Cloud API or your existing Wati, Gallabox or UrbanChat account.
What CRM system do companies in Saudi Arabia use?
The companies on this page sell a mix of global sales CRMs (Zoho CRM, Salesforce Sales Cloud, HubSpot, Freshsales, Microsoft Dynamics 365 Sales, Pipedrive), suites that bundle a CRM with accounting or ERP (Odoo, Bitrix24, Daftra, Focus Softnet) and Xale CRM, which is built for businesses that run on enquiries. A team that sells by enquiry, where a customer messages on WhatsApp, is called back from somebody's own mobile and is worked by two or three people, needs a follow-up per role, access by branch and calls captured from the agent's phone, which is why Xale CRM leads this page. Each vendor's own positioning is quoted in the vendor-by-vendor section from its own pages.
Is there a free trial of Xale CRM for a Saudi business?
Free trial: 7 days on Basic, 14 days on Pro. Sign up, pick the template closest to your business, import your spreadsheet, connect WhatsApp and the phones your team already calls from, and give every role its own follow-up. Plans are per workspace with every feature on every plan, and the pricing page shows the current plans and trials.
How is onboarding done for a team in Riyadh, Jeddah or Dammam?
Remotely, over video call and screen share, by the team that builds Xale. A typical onboarding imports your spreadsheets, previews phone-number duplicates before anything is written, edits the stages and statuses of your pipeline, creates a branch per city and a role per job, connects WhatsApp through Meta's Cloud API or your Wati, Gallabox or UrbanChat account, connects your Meta lead forms, and installs the Android app on the phones your team calls from. Support is in English and Malayalam from the people who build the product, and office visits are welcome at the Kozhikode office when you are in India.
Can one Xale workspace run branches in Riyadh, Jeddah and Dammam?
Yes. Each office becomes a branch, each lead belongs to one branch, and visibility follows the branch: admins see everything, managers see their branches' leads and deals on the stages they manage, and sales staff see the leads assigned to them. New leads are shared equally or by results, by branch, role or country, and a field such as Country can be limited per user. Every report, dashboard widget and Custom Report Builder cell can be cut by branch, and any number opens the exact leads behind it.
Can a CRM in Saudi Arabia use the WhatsApp number we already have?
Yes. Meta's Cloud API supports Coexistence, which lets the WhatsApp Business app keep working on the same number while the CRM uses it too, and Wati, Gallabox and UrbanChat accounts connect to Xale CRM as they are. Cloud API, Wati and UrbanChat chats are answered from one role-scoped inbox, Wati, Gallabox and UrbanChat accounts also turn new enquiries into leads and send approved templates from automations, and template broadcasts run on Cloud API connections to opted-in leads with sent, delivered, read, replied and failed counts. Xale never bills WhatsApp messages: Meta or your provider does.
How are sales calls logged in Saudi Arabia without a call centre?
The Xale Android app syncs each call from the agent's own phone to the right lead with direction, duration and outcome, with no per-minute charges, and attaches the phone's own recording; sync works even when the app is closed, and capture stays off until an admin allows it for a role. When you want a business number as well, TeleCMI cloud telephony records calls from that number on any phone, iPhone included, and both routes run in one workspace. A Call Analytics report and lead-list call filters show who is reaching customers.
What should we ask a CRM vendor about personal data under the Saudi PDPL?
Ask where customers' personal data is stored and who at the vendor can reach it, how you can answer a customer who wants a copy, a correction or destruction of their data, what happens when consent is withdrawn, how and how fast you are told about a breach, under what terms data leaves the Kingdom, and whether the CRM lets you scope who inside your company can see, export or delete a record. SDAIA's Data Protection page lists the data-subject rights, the breach notification service on the National Data Governance Platform and the regulation on transfers outside the Kingdom. Xale answers with workspace data isolation in the data-access layer, hourly database backups, encrypted integration secrets, uploads through links that expire after five minutes, access enforced on the server by role and stage, and exports as a per-role permission.
How is Xale CRM priced for a business in Saudi Arabia?
A subscription per workspace, with every feature on every plan; plans differ by seats, leads, branches, active automations, storage and scheduled reports. The starting price in the table on this page is read from the same source as the pricing page, so the two never disagree. WhatsApp messages are billed by Meta or your provider, never by Xale, and calls from the Android app carry no per-minute charges.
Which industries does Xale CRM have a template for?
Six. At signup a workspace picks Study Abroad, Education, Manpower, Video Production, Academy or Travel and starts with that template's pipeline, roles and sources, all of which you can rename or extend. Every template includes leads, deals, custom fields, roles with stage-level access, a follow-up for every role, automations, WhatsApp, call logging and the Custom Report Builder. A business outside the six, such as a clinic or an interior studio, starts from the closest template, renames the stages and captures its product or service details as custom fields.
Do Facebook and Instagram lead ads in Saudi Arabia flow into Xale CRM?
Yes. Meta lead forms sync automatically with campaign, ad set and ad attribution, and daily ad spend gives a cost per lead per campaign. When a lead arrives, an automation can assign it to a branch's users least-loaded first, set the counsellor's follow-up at a chosen time of day and send a first email template, or a WhatsApp template from a Wati, Gallabox or UrbanChat account. Duplicate phone checks run on creation, and the Meta Lead Ads report opens the exact leads behind every campaign number.
Can we talk to Xale AI about our Saudi pipeline?
Yes. Ask by chat or start a live voice call and talk to it, in Malayalam by default or English on a click, interruptible mid-sentence, with a live transcript. It answers from your own leads, deals, follow-ups, pipeline, calls, users and roles, runs reports with the Custom Report Builder's own measures, mines notes and rejection reasons, and drafts an automation into the builder from plain words for you to preview and save. Xale AI can also take a call as your telecaller and hand the customer to their own counsellor with the follow-up already booked.
