Graded exams give you a ladder. Trinity College London's music grades are numbered from Initial, in many subjects, to Grade 8, and the Japanese-Language Proficiency Test has five levels, from N5, the easiest, to N1. Each step carries its own fee, duration and batch.
This is not JEE or NEET coaching, where results week decides the year (see the best CRM for coaching institutes). In a skill academy, two things break first: counsellors quote fees from memory across a dozen variants, and students who miss their batch land in "Lost", where nobody calls them again.
Programme variants: build the catalogue before you import a lead
Decision rule: a variant is anything that changes the fee, the duration or the batch. Everything else is a field.

Worked example: one programme, four variants
Take a hypothetical IT training institute in Kochi selling a full stack development programme. The figures are assumptions for the arithmetic, not market rates.

Nikhil, a hypothetical student, fills in a Meta lead form that only says "full stack". The telecaller learns he works weekdays; the counsellor confirms the weekend classroom variant, gives ₹3,000 of the ₹5,000 allowed, and opens the enrolment against it. Every quote starts from one catalogue, discounts can be checked against the ceiling, and a report by variant shows which format your ad spend fills. Before importing a single lead:
- List every variant with its fee, discount ceiling and advance.
- Retire variants you stop selling instead of editing them, so past enrolments keep their fee.
Batch starts: plan the pipeline backwards from the start date
Some batches follow an exam you don't control. The JLPT is held in July and December, and its site notes that outside Japan some cities hold it only in July or only in December. A Japanese academy checks the JLPT list of overseas test cities and works backwards from its students' session.
Take a hypothetical academy in Thiruvananthapuram filling a 20-seat N5 batch starting 3 August (assumed timings).

Three rules keep seat counts honest:
- A seat is an advance paid, never an "interested".
- A deferral is not a loss. A student who missed August is warm for October.
- Say "full" only when it is. The consumer regulator targets false urgency (below).
EMI plans and fee collection: the sale continues after yes
Two very different arrangements both get called "EMI".

The Reserve Bank of India's Digital Lending Directions, 2025, dated 8 May 2025, require the lender to provide a Key Fact Statement and to let the borrower exit a digital loan during a cooling-off period of at least one day, paying the principal and proportionate APR without penalty. If a student exits, your enrolment is unpaid again that day: give the event a status and a follow-up.
For your own plans, Razorpay's documentation says Payment Links can be shared by email, SMS or social media, carry an expiry date, allow partial payments, and accept card, UPI, netbanking, wallet, EMI, Pay Later and bank transfer.
The arithmetic. Nikhil's enrolment is ₹60,000 less ₹3,000, with ₹15,000 in advance: a ₹42,000 balance, or three monthly instalments of ₹14,000. A 25-student batch on the same terms leaves ₹10,50,000 outstanding. Assume one student in five pays late each month: five payment conversations per due date, each needing an owner. So remind the enrolment's owner before each due date, and report cash collected separately from money still owed.
Adverts, placement promises and young learners
On 13 November 2024 the Central Consumer Protection Authority issued the Guidelines for Prevention of Misleading Advertisement in Coaching Sector, 2024. PIB's release says "coaching" includes education, guidance, instructions, study programmes and tuition, but "does not include counselling, sports, dance, theatre and other creative activities", and a coaching centre is one coaching more than fifty students. The guidelines prohibit false claims about courses, duration, faculty qualifications, fees, refund policies and job security promises, and target false urgency such as implying limited seats. An IT or language institute of that size may well be covered; whether music or design counts as creative is a question for your lawyer.

Children in music and dance classes
The Digital Personal Data Protection Act, 2023 defines a child as anyone who has not completed eighteen years. Section 9 requires verifiable parental consent before processing a child's personal data and bars targeted advertising directed at children, subject to exemptions the Rules may prescribe. The Rules, notified on 14 November 2025, set an 18-month phased compliance timeline with limited exemptions for purposes such as healthcare, education and real-time safety. Batches start every month or term, so making each one a programme clutters the catalogue and breaks reports by variant. A batch field on the enrolment and a next batch status for deferrals give you seat counts.
Is a no-cost EMI the same as an instalment plan?
No. On an instalment plan the student pays your institute in parts and owes you the balance. With a no-cost EMI from a bank or NBFC, the student takes a loan and owes the lender, which pays you. RBI's Digital Lending Directions, 2025 require a Key Fact Statement and a cooling-off period of at least one day on digital loans, so track loan approval and cancellation separately.
Do the CCPA coaching advertisement guidelines apply to skill academies?
They can. The 2024 guidelines define coaching broadly, covering education, guidance, instructions, study programmes and tuition, but exclude counselling, sports, dance, theatre and other creative activities, and apply to centres coaching more than fifty students. An IT or language institute of that size may well be covered. Ask your lawyer whether music or design counts as creative, and keep every claim provable.
How should a music academy handle enquiries for children?
Take the enquiry from the parent and record the parent's name, number and consent on the student's record.
