CRM Software in Hyderabad for Study Abroad Consultants and US Admissions Teams

CRM software in Hyderabad for study abroad consultants: US master's files, I-20 and visa interview steps, Telangana scholarships, WhatsApp and calls.

This page is for owners, telecalling heads and counsellors comparing CRM software in Hyderabad for study abroad consultants, from a single desk in Secunderabad to a firm with branches across the city. Where the pipeline leans towards US master's programmes, one student means test scores, several applications, an I-20, a SEVIS fee receipt and a visa interview. Below: what official sources say about that route and Telangana's scholarships, and where Xale fits.

Key takeaways

  • Open Doors 2025 counted 363,019 students from India in the United States in 2024/25, more than from any other country.
  • The U.S. Consulate General in Hyderabad, opened in 2008, serves Telangana, Andhra Pradesh and Odisha.
  • A US file has fixed dates: the I-20 program start date, SEVIS fee proof at the interview, and a visa no earlier than 365 days before the start.
  • Telangana's overseas scholarships add a second file with income, test score and admission-letter conditions.
  • Onboarding for Hyderabad teams is remote, with support in English and Malayalam.

Hyderabad, the US consulate and the master's route

The U.S. Consulate General in Hyderabad was established in 2008, and the U.S. Embassy calls it the first U.S. diplomatic office to open in India since independence. Its consular district covers Telangana, Andhra Pradesh and Odisha. It began in Begumpet's Paigah Palace; the consulate's history page says rising demand for visas and for links with American companies and universities led to a new compound on a 12-acre site in the Financial District, open for business since March 2023. The embassy also lists Hyderabad among five EducationUSA centres in India, reachable by phone, email or WhatsApp.

The Open Doors 2025 release, sponsored by the U.S. Department of State, counted 363,019 students from India in the United States in 2024/25, up 10 per cent and ahead of China's 265,919. It also shows pressure on master's admissions: new international graduate students fell 15 per cent in fall 2024, and institutions in its Fall 2025 Snapshot reported graduate enrolments down 12 per cent and new enrolments down 17 per cent. Open Doors does not split its figures by Indian state, so no official source here gives Telangana's share.

A volatile US route means a student's plan can change country mid-year, so your CRM should let you add a UK or Germany application under the same student without losing the US history. Language matters on those calls too: the Hyderabad district administration lists Urdu, Hindi, Telugu and English as languages spoken in a city that now takes in the Secunderabad cantonment and the technology district nicknamed Cyberabad.

The dates and documents inside a US student file

Form I-20. The U.S. Department of Homeland Security's Study in the States site says the I-20 lists the program start date, and a student may enter the United States no earlier than 30 days before it. Schools must collect evidence of financial ability before issuing one, such as family bank statements, sponsor documents or scholarship letters, and students must bring that evidence when they apply for the visa.

SEVIS I-901 fee. F and M students pay it before a visa is issued and show proof at the interview. Corrections, such as moving the payment to another school, should be requested at least two weeks before the interview.

Visa timing. Under guidance announced on 21 February 2023, officers can issue an F or M visa up to 365 days before the program start date, up from 120 days. The embassy's visa information page says appointments are booked online, not by email.

Online presence. On 18 June 2025 the State Department announced expanded vetting of F, M and J applicants, including online presence, with applicants told to set social media profiles to public.

Each of these belongs on the application: sub-statuses for I-20 received, SEVIS fee paid and interview booked, a rule that blocks the interview step until the fee receipt is on file, and a dated follow-up before the interview. Our university application tracking page shows each application running as its own deal under one student.

Telangana overseas scholarships and education loans

Telangana adds a funding file of its own. The state's ePASS overseas scholarship page lists Ambedkar Overseas Vidya Nidhi for SC and, separately, ST students, the Mahatma Jyothiba Phule Overseas Vidya Nidhi for BC and EBC students, and the Chief Minister's Overseas Scholarship Scheme for Minorities. The SC, ST and minority guidelines there share a pattern:

  • Family income under ₹5 lakh a year from all sources.
  • Up to ₹20 lakh, or as per the admission letter, whichever is less.
  • Ten countries: the USA, UK, Australia, Canada, Singapore, Germany, New Zealand, Japan, France and South Korea.
  • One child per family, and 60 per cent in graduation plus test scores; the ST guidelines name GRE 260, GMAT 500, TOEFL 60, IELTS 6.0 and PTE 50.

For BC and EBC students, the merit list weights graduation at 60 per cent, GRE or GMAT at 20 and TOEFL, IELTS or PTE at 20, and the page tells students to hold those scores even if their university does not ask for them. Selection runs in fall (August/September) and spring sessions, with certificate verification.

Loans run in parallel. The central government's Vidya Lakshmi portal, launched on 15 August 2015, offers one common application form for education loans from several banks.

For a CRM, that means test scores and scholarship category as filterable fields, a checklist for the scholarship paperwork, and a follow-up on each deadline. While students wait on scores, see follow-up cadence for study abroad leads.

Where Xale fits, and where it doesn't

Xale is our product, so weigh this section accordingly. It is a study abroad CRM from Xale Private Limited, founded in 2024 in Kozhikode. Overdue, Today and Later follow India Standard Time calendar days, and plans are a subscription per workspace in rupees (see pricing).

Every counsellor call logged and recorded, two routes. The Xale Android app syncs each call from the counsellor's own phone to the right lead with direction, duration and outcome, no per-minute charges, and attaches the phone's own recording. TeleCMI cloud telephony records calls from a business number on any phone, iPhone included.

Where it does not fit a US-heavy consultancy:

  • One generic Visa stage, not an F-1 workflow: you build the I-20, SEVIS and interview steps as sub-statuses.
  • A document requirement checks a file's name, not its contents, so a wrongly filled I-20 under the right name will pass.
  • No student portal, no pre-loaded US university list (Course Finder searches the list you import) and no calendar integration, so interview dates live as follow-ups.
  • Call transcription is tuned for Malayalam–English calls; if your counsellors mostly speak Telugu or Hindi with families, test it on your own recordings.
  • No public API or Zapier connection.

Onboarding and support in Hyderabad

Hyderabad is outside Kerala, so onboarding is remote: we set up the workspace and train your people by video call and screen share. Before the first session, have your branch list, each person's role, the Visa sub-statuses you want for US files and an export of your leads ready.

To see Xale in person, visit our Kozhikode office for a demo; book a visit through the contact page. Support is in English and Malayalam, with other languages on request. For how we work with teams across the country, see Xale in India.

Frequently asked questions

Which is the best CRM for study abroad consultants in Hyderabad?

No single CRM suits every consultancy. For a US-focused team, compare how each keeps several university applications under one student, tracks I-20, SEVIS fee and interview steps, separates telecaller and counsellor follow-ups, and records WhatsApp chats and calls. Xale fits teams that want those in one system with India calendar days and rupee pricing. It does not suit firms that need a student portal, a pre-loaded US university list or a ready-made F-1 workflow.

Does Xale have an office in Hyderabad?

No. Xale Private Limited has one office, in Kozhikode, Kerala. Hyderabad teams are onboarded remotely by video call and screen share, and anyone who wants a demo in person can visit the Kozhikode office after booking through the contact page. Support is available in English and Malayalam, with other languages on request.

Can Xale track I-20, SEVIS fee and visa interview steps?

Yes, as steps you configure. Each university application is its own deal, so you can add Visa sub-statuses for I-20 received, SEVIS fee paid and interview booked, require named documents before a move, and set a dated follow-up for the interview. Xale has no built-in F-1 workflow and does not verify what is inside an uploaded document.

Can telecallers and counsellors work the same student without clashing follow-ups?

Yes. Xale keeps one follow-up per role on each lead or application, so a telecaller's callback and a counsellor's document chase never overwrite each other. Due items show as Overdue, Today or Later on India calendar days, with reminders by web popup, Android push and the in-app inbox.
