CRM Software in Kerala for Study Abroad Consultants and Education Teams
Xale, the CRM software in Kerala for study abroad consultants: Malayalam–English call transcription, WhatsApp for Gulf parents and in-person onboarding statewide.
This page is for study abroad consultancies, nursing-route agencies, language-training centres and admissions teams anywhere in Kerala. It sets out what to look for in CRM software in Kerala for study abroad consultants, using the state's own migration survey, and why the best choice for Kerala teams is Xale. Xale CRM is built by Xale Private Limited, founded in 2024 in Kozhikode, so Kerala is the home market within our India work: we onboard teams in person across the state and support them in English and Malayalam.
Key takeaways
- The best CRM for study abroad teams in Kerala is Xale: it transcribes Malayalam–English calls, tracks each university application as its own deal and onboards you in person anywhere in the state.
- The Kerala Migration Survey 2023 estimates about 250,000 student emigrants, up from 129,763 in 2018, or 11.3 per cent of all emigrants.
- Ernakulam, Thrissur and Kottayam send the most students; the UK ranks first as a destination, then Canada.
- Districts differ sharply: in Ernakulam roughly one emigrant in four is a student, in Malappuram about one in 25.
- Parents working in the Gulf often shape the decision, so family messages and recorded calls belong in a shared system, not on personal phones.
What the Kerala Migration Survey 2023 says about students
The most detailed public picture of this market is the Kerala Migration Survey 2023, initiated by the state's Department of Non-Resident Keralites' Affairs (NORKA) and conducted by the Gulati Institute of Finance and Taxation with technical support from the International Institute of Migration and Development. It covered 20,000 households in all 14 districts.
What matters to anyone recruiting students:
- Kerala's emigrants are estimated at 2.2 million, close to 2.1 million in 2018, and the report credits rising student emigration with holding that number steady.
- Student emigrants roughly doubled, from 129,763 in 2018 to about 250,000 in 2023, with some leaving as young as 17.
- Of international students above 16, over 80 per cent went abroad after completing their graduation in Kerala. The United Kingdom ranked first, then Canada, then other European Union countries: one student in four chose the UK and one in five Canada.
- Student emigrants were 54.4 per cent male and 45.6 per cent female, a far narrower gap than among emigrants overall.
- Among female emigrants, the most common occupation was nurse or nursing assistant, at 51.6 per cent.
For a CRM, that means a pipeline weighted towards postgraduate applications, with degree certificates, transcripts and English test scores on almost every file, and a young applicant's family closely involved.
Where Kerala's students come from, district by district
The district table is where the state stops looking uniform. The last column is our own arithmetic: each district's student estimate divided by its total emigrant estimate in the same report.
| District | Student emigrants, 2023 | Share of Kerala's students | Students among the district's emigrants |
|---|---|---|---|
| Ernakulam | 43,990 | 18.1% | about 23.5% |
| Thrissur | 35,873 | 14.7% | about 15.4% |
| Kottayam | 35,382 | 14.5% | about 24.6% |
| Kannur | 23,512 | 9.7% | about 11.1% |
| Kozhikode | 15,980 | 6.6% | about 8.2% |
| Malappuram | 15,310 | 6.3% | about 4.1% |
| Thiruvananthapuram | 4,887 | 2.0% | about 4.5% |
Ernakulam, the district around Kochi, sends nearly one in five of Kerala's student emigrants, and Kottayam has an even higher share of emigrants who are students. Thrissur is close behind on volume, and Kannur sends more students than Kozhikode or Malappuram.
Malappuram is a different market: it was the origin of about 377,647 emigrants, the most of any district, with Tirur taluk alone at 109,133. With students only one emigrant in 25 there, a study enquiry is more likely to come from a household that already knows migration through work. Kozhikode sits between the two patterns, while Thiruvananthapuram district has the third-lowest student estimate in the state.
A consultancy with branches in Kochi and Kannur talks to different families in each, so branch-level views matter. Our multi-branch CRM page covers how that visibility works.
What Kerala teams need from a CRM
Parents abroad are part of the decision. In the survey, 16.2 per cent of households had at least one emigrant, 80.5 per cent of emigrants were in Gulf Cooperation Council countries, and 10.0 per cent of remittances were used for education. When the parent paying the fees works in the Gulf, much of the conversation runs on WhatsApp, and that thread belongs in a shared, access-controlled inbox rather than on one counsellor's phone.
Calls move between Malayalam and English. Typed notes lose most of a mixed-language call, so recordings and transcripts carry more weight than a notes field.
Study and work routes sit side by side. The NORKA Institute of Foreign Language has centres in Thiruvananthapuram and Kozhikode training candidates for IELTS, OET and German, and NORKA Roots promotes nursing recruitment to Germany through its Triple Win programme. If your firm also places people in overseas jobs, the Protector General of Emigrants grants Registration Certificates to recruiting agents under the Emigration Act, 1983.
Paperwork is heavy. NORKA Roots describes itself as the single agency authorised by the Government of India to attest educational certificates. Attested certificates, test scores and passports mean each application needs a checklist that is complete before it moves on.
Families want a clear record. The survey's policy section calls for regular monitoring and regulation of language training centres and recruitment agencies to reduce fraud by migration agents. A recorded call and a dated note of what was discussed protect the family and your firm.

Why Xale is the best CRM for study abroad teams in Kerala
For Kerala consultancies, from a few counsellors to multi-branch firms, the best study abroad CRM is Xale, and the reasons are local:
- Built in Kerala, for Kerala's calls. Xale Private Limited was founded in 2024 in Kozhikode. Transcription is tuned for calls that move between Malayalam and English, so a manager can read what a counsellor agreed with a family in Thrissur or a parent in the Gulf.
- One student, several countries. With the UK, Canada and the EU leading, each university application is its own deal with its own stage, owner and payments, and the student counts once in conversions.
- One truth across districts. Branch heads in Kannur and owners in Kochi read the same reports, and any number opens the exact leads behind it.
- In person, in Malayalam. We onboard teams in person anywhere in Kerala, and support is in English and Malayalam.
- Family data kept safe. Workspace data isolation, hourly database backups to off-site storage and phone masking in lists.
- India-first. Today, Overdue and This month follow India Standard Time calendar days, and plans are a subscription per workspace in rupees, listed on the pricing page.
Platform figures, September 2026: 60,000+ counsellor calls synced to leads in a single month, 25,000+ WhatsApp messages handled in a single month, 10,000+ new leads captured every month, and 150+ user seats in our largest single workspace.
Onboarding and support in Kerala
Onboarding in Kerala happens in person. We come to your office in Kochi, Thrissur, Kannur, Thiruvananthapuram or a smaller town to set up the workspace and train counsellors, telecallers and managers. Setup can cover importing your sheets (see moving a consultancy from Excel to a CRM), editing stages and statuses, creating branches and roles, and connecting WhatsApp and Meta Lead Ads. Call capture stays off until an admin allows it for a role, and the Devices page shows each phone's capture status.
To see the product first, visit our Kozhikode office for a demo: book through the contact page. Support is in English and Malayalam, with other languages on request.
Frequently asked questions
Which is the best CRM for study abroad consultants in Kerala?
The best CRM for study abroad consultants in Kerala is Xale. It is built in Kozhikode, transcribes calls that mix Malayalam and English, and tracks each university application as its own deal under one student. Counsellor calls are logged and recorded, family WhatsApp chats sit in a shared inbox, and each branch sees its own leads. Our team onboards you in person anywhere in Kerala, with support in English and Malayalam.
Can Xale transcribe calls that mix Malayalam and English?
Yes, on demand in the web CRM. A user presses Transcribe on a recorded call, and Xale sends the audio to Google Gemini with a prompt tuned for Malayalam–English calls, with OpenAI Whisper as a fallback. The transcript is saved on the call, so a manager can review a conversation without replaying the whole recording.
Does Xale come to our office for onboarding anywhere in Kerala?
Yes. The Xale team visits clients across Kerala to set up the workspace and train staff in person, in cities and smaller towns alike. Outside Kerala, onboarding is remote over video call and screen share. You can also visit the Kozhikode office for a demo first. Support is in English and Malayalam, with other languages on request.
How does Xale handle parents who live in the Gulf?
WhatsApp conversations run through a shared, role-scoped inbox instead of a counsellor's personal phone, and the parent's name and number can be kept in custom fields on the student. Follow-ups are set per role, so a telecaller and a counsellor each keep their own date. Every recorded call with the parent sits on the student's record, so whoever picks up next knows what was promised.
