Study Abroad CRM for Consultancies and Student Recruiters Worldwide

Study abroad CRM for consultancies worldwide: UK, Canada, US and Australia applications, WhatsApp, Meta leads, call sync, and the limits outside India.

This page is for consultancy owners and recruitment managers comparing a study abroad CRM for consultancies worldwide, whether you counsel students in Kathmandu, Dhaka, Colombo, Lagos or Dubai, or place students in the United Kingdom, Canada, the United States or Australia. Xale CRM is built by Xale Private Limited, founded in 2024 in Kozhikode, India, and teams outside India onboard and work with us remotely. Below: the official figures shaping the market, what a cross-border team needs, and what an India-first product does not do abroad.

Key takeaways

  • UNESCO counts 6.9 million students studying away from their home country, triple the number in 2000.
  • Destinations are moving apart: UK study visa grants fell 11% in the year ending June 2026, Canada's study permit holders dropped from 928,430 to about 691,215 during 2025, and Australia planned 295,000 new commencements for 2026.
  • India sends the most students to the United States and is second only to China for UK study visas; Nigeria is third in the UK.
  • When a destination tightens, students switch countries, so each application needs its own stage and owner under one student record.
  • Xale's web app, Android call sync, WhatsApp and Meta Lead Ads work outside India, but due dates follow India Standard Time, plans are priced in rupees and TeleCMI is Indian.

The international student market in figures

UNESCO reported on 23 June 2025 that a record 264 million students were enrolled in higher education worldwide, and that 6.9 million were studying away from their home country, a number that has tripled since 2000.

For a recruitment team, destination figures matter more, because each government sets its own rules. The latest official numbers:

DestinationLatest official figureWhat changed
United States1,177,766 international students in 2024/25New international enrolments fell 17% in fall 2025
United Kingdom383,455 sponsored study visas, year ending June 202611% down on the year, 41% below the June 2023 peak
CanadaAbout 691,215 study permit holders on 31 December 2025, from 928,430177,595 fewer new students in 2025 than 2024, about 61%
Australia295,000 new commencements planned for 202625,000 more than 2025; officially not a cap

Two details change what counsellors tell families. The Home Office notes grants have declined substantially since the January 2024 changes restricting most students from bringing dependants, and Graduate route extensions fell 39% to 157,356. In Canada, IRCC lists removing the provincial or territorial attestation letter for master's and doctoral students at public designated learning institutions, so a postgraduate file and a college file can need different paperwork.

Where students come from, and where to read more

The same releases show which source markets carry the weight:

  • India. Open Doors counts 363,019 Indian students in the United States in 2024/25, up 10% and ahead of 265,919 from China. The UK granted 82,523 study visas to Indians, 23% of the total but 16% fewer than a year earlier, behind 86,368 to Chinese nationals, and Indians received the most Graduate route extensions, 64,495. Read the India page, and Kerala, where we are based.
  • Nigeria. Third for UK study visas, with 26,060 grants, and third for Graduate route extensions, with 20,604. See the Nigeria page.
  • Pakistan. UK study visa grants to Pakistani students fell 47% in one year.

The Nepal, Bangladesh and Sri Lanka pages work from each country's own sources. Consultancies serving families in the UAE and Saudi Arabia should read the Gulf page, and the United Kingdom, Canada and Australia pages cover those countries.

What a cross-border recruitment team needs from a CRM

Room to switch destinations. When Canada takes far fewer new students and UK grants to one nationality nearly halve, students change plans mid-application. Each university application should be its own record with its own stage and owner, while the student counts once in conversions. See university application tracking.

WhatsApp the whole team can see. Families message counsellors on WhatsApp, sometimes from different countries. Meta's pricing documentation says you are charged only when a template message is delivered, at rates that vary by template category and the recipient's country calling code. A broadcast to families in three countries can be billed at three rates, by Meta or your provider, never by Xale.

Calls on the counsellor's own phone. A counsellor in Kathmandu or Lagos rings students from their own mobile. If those calls stay in a personal call log, the manager never hears them and the history leaves with the counsellor.

Desks in more than one country. Each branch should see its own students while the owner sees everything, which is what a multi-branch CRM is for.

Worldwide needs and how Xale handles them

Need across countriesWhat to look forHow Xale handles it
Students switching destinationA separate record per applicationEach university application is its own deal under one student, with its own stage, owner and payments
Families messaging from several countriesA shared inbox, not personal phonesA role-scoped WhatsApp inbox on Meta Cloud API, including Coexistence, or your Wati, Gallabox or UrbanChat account
Counsellors calling from their own mobilesCalls filed on the lead with the recordingAndroid app call sync with the phone's own recording, plus TeleCMI as a second route
Ads running in several marketsCampaign and form attributionMeta Lead Ads sync about every 15 minutes with campaign and form attribution, and daily ad spend gives cost per lead
Desks in more than one countryBranch-level visibilityBranch-aware access, country-manager territory access, and lead distribution by branch, role or country
Paperwork that differs by destinationA step that cannot be skippedStage requirements that block a move until named documents or fields are in place

On calls: every counsellor call logged and recorded, two routes. The Xale Android app syncs each call from the counsellor's own phone to the right lead with direction, duration and outcome, no per-minute charges, and attaches the phone's own recording. TeleCMI cloud telephony records calls from a business number on any phone, iPhone included. Before you connect WhatsApp, the Business app vs API vs Coexistence guide helps you pick a route.

Where Xale fits, and where it doesn't

Xale suits consultancies that want a study abroad CRM built around students, applications, follow-ups, WhatsApp and calls, and that are comfortable with an India-first product. From outside India, weigh these points:

  • India Standard Time. Today, Overdue and This month follow India Standard Time (IST) calendar days, so a team in Toronto or Lagos sees the day turn over at India's midnight, not its own.
  • Rupee pricing. Plans are a subscription per workspace, priced in Indian rupees; see the pricing page.
  • Telephony. TeleCMI is an Indian cloud telephony provider, so do not expect local business numbers in other countries from that route. The Android app's call sync works on the counsellor's own phone wherever they are.
  • Meta channels. WhatsApp and Meta Lead Ads work wherever Meta supports them. Meta's WhatsApp support page says businesses in Cuba, Iran, North Korea, Syria and three sanctioned regions of Ukraine are not eligible for the WhatsApp Business Platform.
  • Compliance. Xale holds no security certification (no ISO 27001, no SOC 2) and makes no GDPR or other foreign-law compliance claim.
  • Product gaps. No per-country visa workflows (one generic Visa stage), no pre-loaded university library, no student portal, no sub-agent portal or commission payouts, and the mobile app runs on Android, so iPhone users work in the web app.

If those limits rule Xale out, our comparison of study abroad CRMs covers other options and who each suits.

Onboarding and support in your country

Outside Kerala, onboarding is remote, over video call and screen share. A typical setup imports your existing spreadsheets, edit stages and statuses to match your destinations, create branches and roles, and connect WhatsApp and Meta Lead Ads. Call capture stays off until an admin allows it for a role, and the Devices page then shows each phone's capture status. In-person onboarding is only for teams in Kerala.

If you are travelling to India, you are welcome at our Kozhikode office for a demo; book a visit through the contact page. Support is in English and Malayalam, with other languages on request.

Frequently asked questions

Which is the best CRM for study abroad consultants worldwide?

There is no single answer for every market, so compare on your own workflow. Check that each university application is tracked separately, that WhatsApp chats and counsellor calls land on the student record, that branches in different countries see only their own students, and that due dates and billing suit your country. Xale does the first three, but it follows India Standard Time calendar days and bills in rupees, which some teams abroad will not want.

Can a consultancy outside India use Xale?

Yes. The web app runs in a browser, the Android app installs as an APK with in-app updates, and WhatsApp and Meta Lead Ads work wherever Meta supports them. Onboarding outside Kerala is remote over video call. Keep three things in mind: follow-ups use India Standard Time calendar days, plans are priced in Indian rupees per workspace, and the cloud telephony route uses TeleCMI, an Indian provider.

Will call recording work for counsellors outside India?

The Xale Android app syncs each call from the counsellor's own phone to the right lead, with direction, duration and outcome, and attaches the phone's own recording, wherever the counsellor is. Capture stays off until an admin allows it for a role. TeleCMI cloud telephony is the second route, but TeleCMI is Indian, so do not plan on local business numbers in other countries through it.

Does Xale make GDPR or security certification claims?

No. Xale holds no security certification such as ISO 27001 or SOC 2, and makes no GDPR or other foreign-law compliance claim. It does have workspace data isolation, hourly database backups to off-site storage, encrypted integration secrets and upload links that expire after five minutes. If your country's rules require a certified provider, check that before you sign up.
